Meeting Planner
We have an immediate opening for a full-time Meeting Planner to support a government client. We are looking for an individual with in-person, hybrid, and virtual meeting and conference planning experience. The position is hybrid with required on-site attendance at events and meetings as needed. The ability to work on-site in the DC area is a requirement. The candidate must reside within 50 miles of Washington, DC.
Essential, Knowledge, Duties & Responsibilities
The following essential meeting planning responsibilities include, but are not limited to:
- Designing, planning, and delivery of face-to-face, hybrid and virtual meetings and events.
- Executing logistical tasks necessary for events that regularly exceed client expectations.
- Managing event budgets.
- Developing detailed event-specific task and project work plans.
- Facilitating client kick-off, internal, and external planning meetings.
- Managing the flow of tasks for events.
- Coordinating site selection and supplier selection.
- Assisting with contract negotiations and supplier agreements.
- Preparing client meeting facilities for both in-person and hybrid events.
- Reviewing and approving BEOs and supplier orders.
- Overseeing and managing venue and supplier activities onsite.
- Preparing Zoom Meeting Pro and Zoom Webinar rooms for client meetings.
- Preparing Zoom registration pages for events and providing regular client updates.
- Providing technical support assistance to hybrid and digital meeting participants.
- Managing the travel process including arranging travel, lodging, and transportation for meeting participants, speakers, staff, and clients.
- Developing participant communications for internal and client approval.
- Working with speakers to obtain, format, and load presentations for events.
- Managing registration process including developing online registration, tracking registration, and providing registration reports.
- Working with clients to develop meeting materials.
- Finalizing post-meeting tasks - distributing thank you
letters, event surveys, etc.
- Providing lessons learned after events with recommendations for future events.

- Able to plan and execute on-site and hybrid meetings in the Washington, DC area with occasional travel to meetings as required by the client.
Education and Experience
- Bachelor?s degree
- Meeting Planning Certification (CMP, DES, CGMP, etc.)
- 3 to 5 years of related experience and/or training
