Administrative Assistant
General Description
This position works under the general supervision of the Dean of Students and assists in performing the administrative duties for the Dean and other professional staff in the Office of Student Life.
Primary Duties and Responsibilities
- Assist in resolving problems for students, faculty, staff and the public.
- Greet office visitors, answer telephone and direct inquiries to the appropriate resource.
- Follow-up with others on projects assigned by the Dean of Students and other professional staff in the Office of Student Life.
- Perform various other Student Life functions and clerical support duties as assigned.
- Update related office web page calendars.
- Maintain and update division personnel contact information.
- Maintain an accurate filing system (electronic and paper) so that information is readily Accessible.
- Hire, train, supervise and effectively organize student employees.
- Coordinate contact with students in emergencies.
- Implement security measures to include accurate record of keys issued/returned for residents and/or staff; check out loaner keys to students following safety and security rules.
- Update key inventory for all residence halls/apartments.
- Process official College withdrawals.
- Acts as a liaison with department professional and support staff for the Dean’s direct reports.
- Monitors and maintains accounting records on budgets for which the Dean is responsible.
- Receives guests and clients scheduling appointments as appropriate.
- Maintains personnel records including attendance, leave and travel forms, etc. for staff and student employees.
- Maintains All College Calendar on-line
- Assists with Summer Camps and Conference Billing and statistical data
- Assists with credit card reconciliation
- Perform other job-related duties as assigned.
Essential Functions
- Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.) and Datatel.
- Ability to communicate effectively and appropriately.
- Ability to maintain confidentiality of records and information.
- Ability to interact in an effective and appropriate manner with diverse populations, the University community and the public.
- Ability to detect and correct grammatical and spelling errors in written correspondence.
- Ability to maintain files accurately, in paper and in software programs.
- Ability to handle multiple tasks simultaneously.
- Ability to work independently with minimal supervision and as a team member.
- Ability to work some evening and weekend hours as requested.
Required Minimum Qualifications
- High school graduate or equivalent, Bachelor's degree preferred
- A background check will be required of the successful applicant.
Additional Preferred Qualifications
- Knowledge of Ellucian software.
- Experience working in a college environment.
- Experience working with the public
