Position: Client Care Operations Manager

Job Summary:
- Act as crisis intervention specialist for the site, responding to all situations related to patient care needs. Triage problems, assign available nursing or clinical staff to assist, or personally de-escalate the situation.
- Document all crisis work within the CareLogic EHR system.
- Respond to all immediate facility needs related to upkeep and safety at the facility (water leak, lights out, IT issues, etc).
- Respond to all parent/guardian compliants or challenges and triage as necessary.
- Act as the lead when any emergency occurs at the facility; notifying agency staff
- Ensure appropriate incident reports are completed for each event
- Coordinate all vendor management responsibilities related to repairs, maintenance, cleaning, etc.
- Complete “ticket” for IT needs, cleaning needs, repair needs, landlord needs, etc.
- Track annual inspections for facility vendors
- Respond to all requests for backup from therapists related to behavioral interventions needed for patients in group
- Respond to all requests for backup from therapists related to assistance needed with parents or others who are escalating while in individual session
Office Coordination
- Communicate with parents related to patient financial responsibility when conflicts occur, call Billing Manager when appropriate with family
- Coordinate all ROI requests and complete
- Educate parents/guardians related to records requests or ROI’s
- Check the fax daily related to ROI’s
- Ensure all appropriate COVID protocols are followed
- Assist with tracking facility inspections
- Manage all IT needs for the facility
- Tag and inventory all computer and IT equipment
- Make deposits once a week at the bank, unless otherwise directed
- Assist with company culture events/activities
- Complete weekly census/attendance tracker, incident report tracker, and any other reports as requested that are site specific
- Ensure completion of all weekly reports
- Code/Submit all receipts within DIVVY for site assigned to
- Submit all mileage and reimbursement requests for site assigned to
Supervision of Patient Care Specialist
- Ensure front desk is covered at all times with appropriate lunch times taken
- Supervise the patient care specialist, providing guidance and support
- Ensure copays and deductibles are collected daily
- Ensure cash sheet is reconciled daily
- Ensure no-show fees are collected and no-show policy is adhered to
- Ensure appropriate customer service while on the phone with customers/clients
Schedule: Full-Time: Monday-Friday 8:30AM-5:00PM
