POSITION SUMMARY: 

The Operations Admin - HTD is responsible for assisting the Houston Texas District (HTD) shop with paperwork, logistics, and other required projects associated with day to day company operations. This will require expertise of BICO’s software systems and processes to help complete assembly, disassembly, and shipping of motors or inventory. The job will also involve communicating with vendors to complete reworks and repairs of parts, the issuance of related PO’s, and management of jobs costs. 


ESSENTIAL FUNCTIONS/RESPONSIBILITIES: 

The Operations Admin is accountable for the following functions and responsibilities: 

  • Assist shop personnel with completing assembly, disassembly, and shipping paperwork in the BICO system.
  • Maintain tool and inventory logistics paperwork.
  • Create Purchase Orders for required shop supplies or services.
  • Check and report on nonconforming paperwork.
  • Maintain paperwork process key performance indicators. 
  • Aid lead technicians and district shop manager with backlogged tasks.
  • Identifying opportunities for improvement for paperwork processes.
  • Coordinate with vendors for delivery and payment. 
  • Record and complete job cycle costs.
  • Ensure all phases of paperwork are completed and turned in by appropriate parties in a timely manner.
  • Perform other functions and responsibilities as assigned.


Requirements

QUALIFICATIONS/EXPERIENCE REQUIRED:

The Operations Admin must at a minimum possess the following: 

  • High School Diploma or equivalent 
  • 1 years of related work experience
  • Proficient in the Microsoft Office365 Suite, namely Excel. Familiarity with Microsoft Dynamics is a plus.
  • Strong verbal and written communication skills, allowing for open, honest, and consistent communication.
  • Possess excellent organization and time management skills.
  • Ability to read, write, and speak the English language fluently. Speaking Spanish is a plus.
  • Ability to successfully coordinate multiple tasks and timelines in a fast-paced environment, bearing high levels of responsibility and accountability while keeping the best interests of the business in sight.
  • Ability to evaluate information quickly, identify key issues, and formulate conclusions based on independent, sound, practical judgement, experience, and common sense.
  • Ability to work independently as well as part of a group, foster a culture of teamwork, and promote a positive working environment.
  • Ability to prioritize workload but be flexible to adjust to changing deadlines.
  • Ability to maintain the highest standard of personal conduct in performing all duties.
  • Ability to deal with difficult/problem situations and maintain a professional demeanor at all times.
  • Ability to build a working relationship with customers, external vendors, and internal personnel at all levels based on respect and good rapport.
  • Flexibility to adjust to work routines, as required, to meet the needs of the company.

Requirements

PHYSICAL REQUIREMENTS:

The Operations Admin must be able to: 

 Operate basic office equipment, such as a keyboard, mouse, and copier/printer/scanning machine. 

 Lift 10lbs regularly and with assistance, up to 25lbs on occasion. 

 Wear the appropriate Personal Protective Equipment when required (i.e., safety glasses or side shields, steel-toe footwear, etc.). 

 Sit/stand for long periods of time; up to 8-10 hours a day
