What are the responsibilities and job description for the Art Gallery Lab Coordinator (State University Administrator 1) position at Bloomsburg University of Pennsylvania?
In close consultation with the Department of Art and Art History, this position facilitates the implementation of exhibition design, including installation and de-installation, of approximately ten to fifteen exhibitions a year in the Haas Gallery and Greenly Gallery, coordinates publicity for the Galleries and their exhibits, maintains the University’s Permanent Collection, and provides advice and support for exhibitions of art on campus. Works in coordination with Department Faculty to place art within the Arts and Administration Building.
This position must communicate well with the Department of Art and Art History as well as with artists, the campus community and patrons of the Haas Gallery of Art. Incumbent maintains and facilitates safe usage of Art Studio Lab materials, tools, and equipment. This position requires a great deal of time and expertise between both Gallery and Tech components of the job. It provides critical curricular support through gallery presentations; maintenance of art studios; general lab safety and efficiency; and is part of our NASAD Accreditation needs.
Examples of Duties: GALLERY:
- Manages all aspects of art gallery receptions and lectures; this involves coordination with the artist, faculty, Art/Art History department activities, food service provider, custodial department, and the director for Haas Center and the Gallery at Greenly Center.
- Coordinates all activities of the Haas and Greenly Galleries and other exhibitions across campus. Acts as the liaison with custodians for general housekeeping/cleaning and with other Facility Department personnel.
- Works with internal and external constituents as directed to further the goals of the Department of Art and Art History.
- Schedules exhibitions and ensures security of the artwork.
- Oversees gallery contracts, shipping and insurance.
- Coordinates, in conjunction with the department secretary, artists’ campus visits that may include transportation and assistance to the artist during their campus visit.
- Responsible for the design of the exhibit based on established practice and/or artist’s direction.
- Assists visiting artists with special needs; assures that audio/visual and specific lighting demands are met, acquires specific hardware if necessary.
- Facilitates the goals of exhibit set-up and reception planning by working within defined guidelines and established expectations of the Department of Art and Art History and the university.
- Documents exhibitions at Haas Gallery and the Gallery at Greenly Center with digital photography.
- Using common desktop computer applications and technology, promotes and oversees publicity for exhibits by various means such as postcards, posters, news releases, campus TV, the university web sites, the department web site, and other relevant internet means such as social media and works closely in collaboration with the Marketing and Communications Department.
- Disseminates exhibition documentation through web page and social media such as Facebook.
- Maintains archive of exhibitions including documents, photography and/or recordings of artist’s talks.
- Maintains the Haas, Greenly, and Permanent Collection web page in collaboration with the DAAH web designer.
- Creates updates for the Haas Gallery digital billboard including scheduling information and descriptive text and images.
- Responsible for regular communication/consultation/coordination with the Department of Art and Art History faculty and department secretary via email, phone and in meetings.
- Oversees DAAH gallery budget line in coordination with the department chairperson.
- Develops/designs specialty items for safe, efficient art material use and storage.
- Ensures that storage areas are kept in good order and repair. Maintains an inventory of supplies, fixtures and equipment.
- Performs minor maintenance/replacement of gallery fixtures. Will coordinate other gallery repairs with facilities management staff.
- Utilizes a tracking system (software application) to catalog and maintain the University’s permanent art collection and assists university staff in determining availability of university owned art.
- Address issues of the condition of the art works, repairing them when possible or consulting with the department chair.
ART TECH:
- In consultation with studio lab faculty, implements the design, realization, upkeep, and installation of specialized equipment, devices, & storage unique to those departments.
- Facilitates safe operation, upkeep, repair, and adjustment of all Art Studio lab tools, machinery and materials.
- Coordinates safe removal of dangerous substances with the appropriate BU Facility Office personnel.
- Inspects equipment for safety and accuracy.
- Assists professors in inventory of consumables.
- Assists faculty with special lab or class related projects.
- Assists students with safe operation procedures of lab and safety equipment.
- Weekly maintenance of the Laser Cutter in the Sculpture Lab.
- Maintains and updates DAAH safety records such as safety data sheets, and materials usage lots, etc.
- Practices safety measures to prevent accidents and injuries and to ensure proper/safe operations and compliance with applicable regulations.
- Participates in training and educational activities, as requested.
- May be required to operate state-owned vehicles.

- Supervises and assigns work to work study students.
Qualifying Experience / Education: Minimum Experience and Training:
Bachelor’s Degree required. Master’s Degree preferred.
A current valid driver's license is required.
