The Accounting Clerk plays a crucial role in supporting our management team. This position is responsible for performing various clerical and administrative tasks to ensure accurate and efficient financial operations. Attention to detail, organizational skills, and strong numerical aptitude will be essential in this role. This role is a part-time position, requiring approximately 16 hours per week.


Essential Duties and Responsibilities:

  • Accounts Payable and Receivable: Process invoices, match purchase orders, and ensure timely and accurate payment processing. Track payments and follow up on outstanding balances.
  • General Ledger Maintenance: Assist with maintaining the general ledger by posting journal entries, reconciling accounts, and ensuring accurate and up-to-date financial records.
  • Data Entry and Documentation: Enter financial transactions into QBO, verify data accuracy, and maintain proper documentation. Prepare and maintain financial reports, spreadsheets, and other accounting records.
  • Bank and Cash Management: Reconcile bank statements, monitor transactions, and assist with cash flow management.
  • Expense Management: Review and verify employee expense reports, ensuring compliance with company policies. Process and reconcile employee reimbursements.
  • Financial Analysis Support: Assist with financial analysis tasks, including budget preparation, variance analysis, and financial reporting. Compile data and generate reports for management review.
  • Record Keeping and Filing: Maintain organized and accurate financial records. Ensure confidentiality and security of financial information.
  • Audit and Compliance Support: Assist with internal and external audits by providing necessary documentation and information. Ensure compliance with accounting principles, regulations, and company policies.
  • Sales and Use Tax: Review, approve, and submit sales tax for payment.
  • Vendor License Reconciliation: Update licenses purchased from multiple vendors with our clients' agreements in ConnectWise Manage. Reconcile vendor invoices with product counts on agreements.

  • Basic understanding of bookkeeping practices and procedures.
  • Excellent organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Office Suite or similar software.
  • Experience with QuickBooks Online (QBO).
  • Ability to research software application issues within vendors' documentation.
  • Ability to apply discretion and trust with confidential company information.


Educational/Previous Experience Recommendations:

  • High school diploma or equivalent required, with some bookkeeping coursework.
  • Associate degree in accounting, finance, or business-related field preferred.
  • Minimum 3 years of related experience required.
