Position Title: Construction Administrator
Reports To: Director of Construction
Office Location: Birmingham, MI
Position Summary: As a Construction Administrator, you will play a vital role in providing administrative support and ensuring the smooth functioning of construction projects. You will collaborate closely with construction managers, project teams, and various stakeholders to facilitate the successful execution of construction initiatives. Your organizational skills, attention to detail, and ability to multitask will be essential in managing project documentation, coordinating activities, and maintaining efficient project workflows.
Responsibilities:
- Project Documentation: Accurately manage and maintain construction project documents, including permits, blueprints, contracts, and change orders. Organize and update files to ensure easy accessibility for project stakeholders.
- Communication and Coordination: Serve as a liaison between construction teams, subcontractors, suppliers, and other relevant parties. Facilitate effective communication channels to ensure the timely exchange of information and resolve any potential issues promptly.
- Scheduling Support: Assist in coordinating construction teams schedules.
- Financial Administration: Collaborate with the finance department to manage construction project budgets, track expenses, and process invoices. Ensure that all financial records are accurate and up to date.
- Permitting and Compliance: Support the acquisition of necessary permits and licenses required for construction projects.
- Procurement Assistance: Assist in the procurement process by obtaining quotes, liaising with vendors, and processing purchase orders for construction materials and equipment.
- Safety Compliance: Help maintain a safe working environment by adhering to safety protocols, monitoring safety documentation, and ensuring that construction teams follow safety guidelines.
- Reporting and Documentation: Prepare regular progress reports, meeting minutes, and project updates for distribution to relevant parties. Maintain detailed records of construction activities and track project milestones.
- Problem Solving: Identify potential project issues or obstacles and communicate them to project managers promptly. Assist in developing solutions and implementing corrective actions as needed.
- General Administrative Tasks: Perform various administrative duties, such as answering phone calls, scheduling meetings, managing office supplies, and maintaining construction project calendars.
Recommended Qualifications:
- High school diploma or equivalent.
- Proven experience in construction administration or a similar administrative role within the construction industry.
- Familiarity with construction documents, terminology, and processes.
- Strong organizational skills with exceptional attention to detail.
