PRIMARY FUNCTION:
The Administrative Assistant provides administrative support with a variety of clerical tasks including answering incoming calls, greeting and assisting clients, and entry level accounting tasks. The Administrative Assistant will work with staff, routing correspondence for Bonanza Fuel, Bonanza Express, and Nanuaq, subsidiaries of Sitnasuak Native Corporation.
ESSENTIAL FUNCTIONS:
• Professionally answer all incoming calls, route accordingly.
• Greet guests and clients in a professional, friendly, and hospitable manner; assist with questions or direction as necessary.
• Maintain office area for Nome SNC business operations office.
• Assist Nome managers and staff with a variety of administrative related tasks.
• Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
• Schedule and coordinate meetings, appointments, maintenance requests, for team members as needed.
• Prepare schedules and agendas for meetings.
• Record, compile, transcribe and distribute meeting minutes.
• Open, sort and distribute incoming correspondence.
• Assist Nome staff to coordinate maintenance requests of commercial and apartment buildings.
• Assist in basic accounting tasks – i.e. coding invoices for payment, requesting invoices, etc.
• Track visitor sign-in sheets upon individuals’ arrival and departure.
• Open and close office area per Company standards (lock office doors, lock drawers, turn off lights, clean/disinfecting, etc.).
• Assist with miscellaneous clerical duties (e.g. photocopying, faxing, filing, and collating).
• Re-stock office supplies, etc. as needed.
• Maintain Bonanza Fuel, Bonanza Express, and Nanuaq directory and company calendar.
• Perform courier services as needed.
• Handle requests for confidential information and data.
• Assist CEO on a variety of administrative related tasks.
• Resolve administrative problems and inquiries.
• Prepare written responses to routine inquiries.
• Work in a constant state of alertness and in a safe manner.
• Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities.
Requirements
KNOWLEDGE, SKILLS, & ABILITIES:
• Excellent organizational skills with the ability to confidentially process and maintain data with attention to detail.
• Strong administrative and professional phone skills; ability to perform related tasks.
• Basic understanding of accounts payable, accounts receivable, and general invoicing best business practices.
• Proficient technical writing skills to effectively draft emails, memos, and correspondence.
• Ability to demonstrate strong computer skills; ability to learn different software programs; ability to type at least 45 words per minute.
• Advanced knowledge in Microsoft Office Suite, specifically in Microsoft Excel and Microsoft Word.
• Able to display well-versed writing for drafting correspondence and announcements.
• Excellent interpersonal skills to work effectively and cooperatively with all levels of management and staff.
• Ability to multi-task in a fast-paced environment and effectively and professionally assist customers in this type of environment.
• Effective oral and written communication skills to effectively communicate policies and procedures to others.
• Ability to use general office equipment such as fax, phone, copier, etc.
• Strong customer service skills, including active listening, prompt service and follow-up. Ability to convey information clearly, effectively, and professionally.
• Active listening skills; attentiveness when listening to others to understand, ask appropriate questions, etc.
• Ability to work in a Native Corporation multi-business environment.
• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
• Ability to perform basic math (add, subtract, multiply, divide, find ratios/percentages) quickly and correctly and read bar charts and graphs.
• Ability to safely and efficiently operate a motor transport vehicle in the delivery of confidential documents or sensitive materials.
QUALIFICATIONS:
• High School Diploma; technical, vocational, or administrative certification preferred.
• A minimum of two years of related administrative experience preferred, with customer service focus.
• Proficiency in MS Office applications.
• Valid state Driver’s License and be qualified to operate a vehicle.
• Ability to pass a background screening and credit check.
WORKING ENVIRONMENT:
The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The noise level in the work environment is quiet to moderate.
