Book Law LLP, a distinguished employment law firm based in New York City, is actively seeking a skilled and experienced Legal Assistant - Administration to join our dynamic team.
As a trusted advisor to businesses, Book Law prides itself on counseling and assisting employers in all facets of employment law, including HR compliance and other employment-related matters. Our goal is to ensure that our clients avoid the necessity of litigation and DOL/EEOC related actions, and where that route becomes unavailable, to defend our clients vigorously while maintaining high ethical standards.
Generally, the Firm Administrator position entails a number of crucial administrative responsibilities, such as:
- Calendar Management: Manage attorneys' calendars (including deadlines), schedule appointments, Zooms and other meetings, conferences, coordinating with internal and external parties as necessary.
- File Management: Organize and maintain electronic files, ensuring proper indexing, labeling, and storage of legal documents, correspondences, and case-related materials.
- Client Support: Assist in managing client relationships by addressing inquiries, providing updates on case status, and maintaining open lines of communication to ensure client satisfaction.
- Court Filings: File legal documents with courts and administrative agencies.
- Billing and Timekeeping: Assist with billing tasks, including the preparation of client invoices, tracking attorney time entries, and maintaining accurate billing records. Send client invoices along with follow-up.
- Administrative Support: Provide general administrative support for the firm.
Qualifications:
- Education: High school diploma or equivalent.
- Experience: Minimum of 2 years’ experience working as a legal assistant in an administrative role in a law firm, with exposure to litigation and other practice areas.
- Knowledge: Strong understanding of legal terminology.
- Technical Skills: Strong proficiency in Clio, NetDocuments preferred (document management systems, timekeeping software), MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with clients, attorneys, and colleagues.
- Organization and Attention to Detail: Exceptional organizational skills and attention to detail to manage multiple tasks simultaneously, prioritize work effectively, and meet deadlines.
- Confidentiality: Ability to handle sensitive and confidential information with utmost discretion and professionalism.
- Collaboration: Strong team player with the ability to work collaboratively in a fast-paced environment, supporting attorneys and legal staff as needed.
