Overview:
Fast growing and fast paced Madison, WI, boutique law firm is seeking a General Paralegal/Legal Assistant to assist with their business law, probate, and estate planning practice. Candidates must be self-starters, hardworking, ambitious, compassionate and reliable. Successful candidates will also possess strong communication skills and advanced computer skills. Candidates must have a paralegal degree or certification from an accredited college or university. Education and Work Requirements:
Associates or Bachelor’s Degree
- Paralegal Degree or Certification
- 1 years of paralegal work in a law firm experience:
- Experience in any of the following practice areas is a plus: Estate Planning, Business Law or Probate /Estate and Trust Administration
Duties:
- Draft correspondence, fee agreements and legal documents.
- Schedule meetings and assist in maintaining firm and attorneys’ calendars.
- Assistance with all practice areas of the firm, including but not limited to the following: Estate Planning, Business Planning, Probate and Estate Administration.
- Assist with preparation and drafting of estate planning documents.
- File documents with the Department of Financial Institutions.
- Assist with incorporation, maintenance, acquisition, modification or dissolution of corporations, LLCs and partnerships.
- Maintain the calendar, deadline, and schedule for completing documents, filing the inventory, and closing the estate for estate administrations.
- Correspondence with clients, financial institutions, and beneficiaries to obtain necessary information, and answer typical questions by email or phone concerning estate administration.
- Preparation and transmittal of all necessary papers to transfer securities.
- Preparation and filing of claims for insurance proceeds and death benefits.
- Preparation of accounts in the probate court; preparation of trust accounting.
- Funding of Revocable Living Trusts.
- Drafting and filing of real estate deeds, transfer returns, and related memoranda.
- Ordering deeds from title companies or register of deeds; Ordering title reports.
- Drafting of company specific forms and instructional letters to coordinate assets with trusts.
- Correspondence with clients to answer questions and collect needed information.
- Working with clients’ professional advisors (such as life insurance agent, realtors, accountants/CPA and financial advisors).
Qualifications:
- Strong communication skills - written and verbal.
- Advanced knowledge of Microsoft Office (Word, Excel, Power Point and Outlook); Advanced computer skills.
- Manage correspondence with clients and scheduling.
- Maintenance of calendar relative to deadlines and timing within the matter.
- Directly assist and take instruction from the senior paralegal or attorney with the matter; ability to interact with multiple team members and attorneys.
- Ability to record accurate information and strong attention to detail; strong grammar, spelling, and punctuation.
- Excellent organizational skills and attention to detail.
- Excellent people skills; responsive and courteous interaction with clients.
- Issue assessment and problem-solving skills.
- Ability to work independently, with little supervision or direction, including consistent follow through on assignments.
- Professional demeanor and mature attitude; ability to develop and maintain positive interpersonal relationships.
