What are the responsibilities and job description for the Executive Assistant position at Boss, Inc.?
Boss Inc. is working with a Real Estate Developer and Builder in Virginia Beach, VA that is looking for an Executive Assistant. The Executive Assistant will support the owner as an Executive and Personal Assistant.
Specific duties include, but are not limited to:
· Processing and managing emails and calendars
· Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Executive’s behalf
· Managing the Executive’s calendar, including making appointments in MS-Outlook and MS-Teams, and prioritizing the most sensitive matters
· Preparing documents for signature and ensuring proper completion
· Transmit information requested by lenders, legal, title, etc. related to loan transactions
· Participates in weekly departmental staff meetings and distributes weekly status meeting minutes to team
· Manage corporate organization documents, including operating agreements, titles, organizational charts and updated spreadsheet connecting companies to projects
· Partner Meeting preparation (monthly) including agenda distribution and report compilation
· Minor HR duties such as tracking employee information, updating and maintaining office policies and procedures, helping to address staff issues as they arise
· Maintain organization memberships and interactions
· Manage contributions to charities and company community service projects
· Responsible for travel arrangements, receipt management, and expense reimbursements
· Organizing business and social meetings for the company, including scheduling, sending reminders, and organizing catering when necessary
· Purchase and pick up supplies for office and IT
· Sets up and trouble shoots phone, video, and web conferencing
· Greet appointments in office
· Personal assistant responsibilities include: ordering items; personal mail organization and response; scheduling home improvements/maintenance; board/volunteer communication; occasional bill pay, etc.
Applicant Requirements:
· Minimum of two (2) years of executive level secretarial experience OR any equivalent combination of education and experience
· MS Suite and Adobe Acrobat Professional
· Must be able to maintain the highest level of confidentiality and have ability to handle sensitive material concerning the organization
· Communicate information in a clear, concise, and courteous manner effectively through email, text or phone
· Attention to detail, quality and accuracy
· Required to pass criminal background check
