Position Description The Trust Administrative Coordinator is responsible for coordinating administrative activities associated with the Boston Childrens Hospital Trust operations team. Engages stakeholders to achieve successful outcomes and works to support the development of short- and long-term relationships with staff, hospital departments and external vendors. Maintains documentation and evaluates delivery of services and procedures to improve efficiencies. Responsible for transactional budget activities for the department. As a member of a team, ensures smooth and efficient daily operations. The coordinator should be highly organized and thrive under pressure.
The Trust Administrative Coordinator will be responsible for:
Coordinating and assisting in developing administrative aspects for the Trust Business Administration team, with emphasis on improving efficiencies and building relationships.
Serving as liaison with external vendors and other stakeholders to coordinate activities, materials, and deliverables.
Acting as a resource and training Trust staff in functions, services, practices, and procedures of the Business Administration team.
Assisting in the development and disseminating of Business Administration team materials and documentation of practices, policies, and procedures for Trust staff.
Monitoring the departmental budget associated with the team.
Serving as a leader and resource from their respective team to administrative staff.
Developing familiarity with the team's support needs and procedures and providing backup support as needed.
Running reports and queries in support of operations team functions and performing analysis of the data.
Performing other duties as assigned.
To qualify, you must have:
Associate's Degree required.
Minimum three years experience providing administrative support or office administration required.
Strong organizational skills with a consistent attention to detail, and advanced multi-tasking abilities.
High level of productivity and a solution-oriented performer.
Excellent communication and customer service skills.
Ability to work as part of a team and independently.
Proficiency in general software programs (MS Office) and the ability to develop proficiency in specific database management systems.
Detail-oriented with strong analytical and problem-solving skills.
