As the Office Coordinator, you will play a crucial role in ensuring the smooth and efficient operation of administrative processes. Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the Pediatric Therapy Center, including managing phone calls, scheduling appointments, and maintaining accurate and up-to-date records.
- Client Interaction: Interact with parents, caregivers, and children in a friendly and professional manner, addressing inquiries, providing information, and ensuring a positive experience throughout their interactions with the center.
- Appointment Scheduling: Coordinate and manage appointment schedules for therapists and clients, optimizing the use of available time slots and ensuring timely and efficient service delivery.
- Billing and Insurance Processing: Collaborate with the billing department to ensure accurate and timely processing of insurance claims and invoices. Address any billing-related inquiries from clients or insurance providers.
- Office Organization: Keep the office space organized and conducive to a welcoming atmosphere. Manage office supplies, equipment, and maintain a tidy and efficient workspace.
- Team Collaboration: Supporting therapists, clinicians, and other team members to facilitate effective communication and coordination of services. Foster a collaborative and supportive work environment. This also includes assisting with business development efforts.
- Problem Resolution: Address and resolve any issues or concerns related to administrative processes, ensuring a high level of customer satisfaction and adherence to quality standards.
Qualifications:
- Previous experience in any of the following areas: front office, scheduling, medical office management, marketing, accounting, or HR.
- Excellent organizational and time-management skills.
- Strong interpersonal and communication skills, especially when dealing with children and their families.
- Well-developed computer skills and excellent customer service skills.
- Knowledge of insurance billing procedures and medical terminology is a plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Compassionate and patient-focused approach to work.
Schedule:
- Monday - THURSDAY 8 am - 6 pm.
- Friday office is closed.
