Admin Assistant Requirements
- 2 years of experience as an administrative assistant, preferably with scheduling and travel booking experience
- Proficiency in Microsoft Office Suite and Outlook for email and calendar management
- Ability to handle multiple itineraries and calendars
- Strong organizational skills and attention to detail
- Excellent communication skills and ability to work in a fast-paced environment
- Comfortable with technology and quick to learn new systems
- Experience with shipping and logistics coordination is preferred
- Familiarity with ClickUp (management software) is a plus
- Book and manage travel arrangements, including itineraries, flights, hotels, and car rentals
- Handle logistics, including shipping coordination, tracking shipments, and ensuring timely delivery
- Manage office supplies, order snacks, and ensure a well-stocked office
- Schedule and coordinate meetings, maintaining calendars for multiple team members
- Address travel-related issues and maintain relationships with travel partners
- Manage emails, letters, packages, phone calls, and other forms of correspondence
- Create and update databases and records for financial information and personnel data
- Track and replace office supplies to avoid interruptions
- Submit reports and prepare proposals and presentations
- Perform safety checks on a daily/weekly basis
- Handle expense reporting, including reviewing, scanning, and uploading documents
- Assist colleagues with various tasks as needed
