Bowdoin College is seeking an Executive Assistant, to be based in the office of the President, located on their beautiful campus in Brunswick, Maine. The Executive Assistant provides high-level administrative support to the President of the College and works closely with the Senior Vice President/Secretary of the College in a fast-paced environment.
Requirements of the Executive Assistant:
· A minimum of seven (7) years of experience, including experience providing administrative support to a senior executive at a comparable organization
· Experience in calendar management: prioritizing, organizing, scheduling/resolving scheduling issues, and maintaining a calendar for an executive or group
· Experience making travel arrangements (flights, hotels, ground transportation, meals, and offsite meetings) for executives including preparing itineraries and expense reports
· Experience preparing and managing office budgets
· High level of demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive, Teams) and other virtual meeting platforms
· Understanding of and experience with business protocols
· Excellent time management skills, and proven ability to meet deadlines
· Exceptional interpersonal, oral, and written communication skills
· Excellent administrative and organizational skills with strong attention to detail, accuracy, and precision
· Ability to use good judgment to make effective decisions
· Ability to manage sensitive matters with the highest level of confidentiality and discretion
· Demonstrated commitment to valuing diversity, contributing to an inclusive working, and learning environment.
· A high school diploma or GED equivalent; bachelor’s degree preferred
· Professional experience in higher education preferred
· Ability to commute to Brunswick, Maine Monday through Friday, 8:30 to 5:00 with additional hours including evenings and weekends required
Benefits of the Job:
· Annual salary in the range of $85,000 - $95,000

Responsibilities of the Executive Assistant:
· Scheduling and calendar management for the President, including gathering documents and attending to coordination of meetings; making travel arrangements, including creating itineraries and processing expense reports
· Assisting with budget planning/management
· Maintaining paper and electronic records for the Office
· Managing and assisting with administrative projects; screening and prioritizing incoming information
· Interacts with all members of the Bowdoin College community acting with the highest level of professionalism, integrity, and composure, while understanding and maintaining confidentiality at all times.
· Serves as a backup to the other Executive Assistant in the Office supporting the Senior Vice President/Secretary of the College
· Performs a wide variety of executive support duties
· Balances multiple priorities with minimal supervision
