UIC Municipal Services is an independent subsidiary company of the Ukpeaġvik Iñupiat Corporation (UIC).

UIC Municipal Services (UICMS) provides support and maintenance to the water and sewer operations in the north slope villages.  UICMS also provides under ground emergency water and sewer repairs as needed as requested.

These services include research planning, North Slope Borough (NSB) stakeholder relations, and logistics. UIC Municipal Services works to ensure project needs are safely and successfully met.

Support UIC incident free safety culture and assume personal accountability and responsibility for the safe performance of the job, both for personal safety and that of fellow workers.

This includes the proper use of PPE, safety equipment, and adhering to safe work practices.

Take necessary actions to stop or correct unsafe behaviors or conditions and, if appropriate, report them to the site Supervisor.

Become familiar with company policies, pertinent standards, work instructions or safe operating procedures. Maintain good attendance and actively participate with a positive attitude.

Project Administrator Summary:

The Project Administrator’s primary goal is to provide project management assistance and administrative duties, working side by side with the Project Manager (PM) on underground water and sewer project.

The Project Administrator will work closely with the PM and site field staff with day-to-day management duties, NSB contractual reporting, assistance with budgeting and scheduling tasks.

A background in water and sewer operations is important, along with familiarity with the processes involved in underground arctic and subarctic water and sewer maintenance and repairs.

Record and project file keeping will be important.

As the Project Administrator you will work in an office setting in Barrow at the UIC Municipal Services Office.

The typical work week will be 40 hours per week although there may be occasional work outside of normal business hours, including weekends.

Essential Functions:

  • Responsible to assist the PM in day to day project management and contractual reporting to the NSB.
  • Read and interpret project contract and provide adequate report formats as described in the project contract, as described in the Contract Data Requirements List (CDRL).
  • Prepare the Contractor Progress, Status and Management Report (CPSMR).
  • Familiarity with MS Excel and project scheduling.
  • Attend weekly progress meetings, prepare agenda and minutes as necessary.
  • Report, code, and maintain receipt records to properly track project usage.
  • Attention to detail and accuracy required for complex administrative tasks.
  • Maintain electronic and hard copy filing system, ability to retrieve documents from filing system.
  • Assist with work plan review and finalization.
  • Ability to create Excel, Word or pdf documents to assist with tracking or record keeping.
  • Assist PM with time keeping of staff field employees.
  • Assist PM with invoicing review and issuing.
  • Handles requests for information and data, resolves administrative problems or inquiries.
  • Ability to practice safe working standards.
  • Other duties assigned.

Responsibilities

Knowledge and Critical Skills/Expertise:

  • It is essential that the Administrative Administrator has the ability to work well with people, and has demonstrated strong communication skills both verbal and written.
  • Extensive software skills are required, as well as Internet research abilities.
  • Planning, organizing, and prioritizing work load are primary duties.
  • Ability to work methodically and independently
  • Ability to work as part of a team
  • Ability to handle high work load during busy months
  • Ability to handle high stress loads
  • The ability to read and understand the project contract requirements, and providing those requirements in the desired format and on the appropriate schedule is critical.

Required Experience:

  • High school diploma.
  • Proficient in Microsoft Office Suite software.
  • Experience in the Water and Sewer field.
  • Familiarity with preparation/review of project work plans
  • This a fast paced position and requires a person that can multi-task, is well organized, and is flexible and adaptable to work well under pressure through teamwork

• Good verbal and written communication skills is a necessity.

  • Physical Demands:

    • While performing the duties of this job, the employee is frequently required to read text on a computer screen and in hard copy, stand or sit, talk, and hear.
    • The employee is frequently required to enter information into computers via a keyboard or other peripheral device.
    • Exposure to moderate levels of noise in a well-lit, well-ventilated and moderately paced environment.
    • Continuously required to sit, hear and/or respond to verbal/audio cues, perform repetitive motions of hands and wrists, and read computer screen.
    • Occasionally required to stand or walk.
    • Rarely required to climb, balance, stoop, kneel, crouch, crawl, twist, bend, or reach with hands and arms.
    • Rarely required to push, pull and/or carry objects up to 10 pounds.

    Environmental Conditions:

    • The work environment is that of a typical office setting.
    • In a large building in an urban setting.
    • May occasionally be on a construction site.
    • May occasionally travel to rural areas.
