Responsibilities

JOB SUMMARY

The Real Estate Coordinator is responsible for the day-to-day administration of the Utqiagvik Real Estate Office in the Real Estate & Lands Department. The Real Estate Coordinator will work closely with the Maintenance & Operations team to address issues relating to UIC real estate properties, and dispatches maintenance and Ukpik building custodian positions.

 

ROLES & RESPONSIBILITIES

  • Administer all day-to-day operations relating to real estate with minimal oversight.
  • Assist the Maintenance & Operations team on all day-to-day operations associated with maintenance and facilities. Receive and submit work order requests and resolve maintenance grievances.
  • Administer and manage the department’s residential and commercial leases, property management software, including development of lease agreements, notices, terminations, and other related documents of approval.
  • Prepare and submit annual audit worksheets on residential and commercial leases. Provide lease copies as requested by auditors.
  • Supervise custodian positions for the Ukpik Building. Oversee ordering and replenishment of custodial supplies.
  • Manage the department’s residential and commercial keying system.
  • Oversee the department’s operating and capital budgets and expenditures. Assist in preparing budget memos for approval. Assist in preparing the annual operating and capital budgets for approval. Resolve any coding questions for issues.
  • Review and provide additions and/or deletions to the department’s Real Estate Statement of Values list. Obtain insurance certificates from Lessees as required for leasing purposes. Maintain hard copy and digital files.
  • Administer the department’s real property taxes. Receive and code real property tax billings for approval. Research and help resolve any tax questions or disputes. Maintain hard copy and digital files.
  • Administer and manage the property management software and department’s filing system on all UIC real estate owned.

Oversee packets regarding real estate purchases and leases to be submitted for Administrative approval or submission to the UIC Board meeting agenda for approval.

  • Notarize legal documents as needed.
  • Establish good public relations with tenants, shareholders, customers, and visitors.
  • Maintain all records relating to real estate and property management, to include paper files, electronic files, and associated procedures.
  • Establish, maintain, and enforce procedures relating to real estate and property management such to support efficient operations, excellent customer service, and compliance with statutes, regulations, and the company’s policies. Perform other duties as assigned.

Qualifications

  • QUALIFICATIONS

    • Graduation from college with a major in Business or Public Administration, Planning, Economics, Real Estate, or closely related field is preferred; experience may be substituted on a year-to-year basis.
    • Two years of professional administrative experience. Must have knowledge of principles and practices of office management.
    • Knowledge of Alaska Landlord/Tenant laws and general residential and commercial real estate industry practices.
    • Experience in local, state, federal government structure and functions, particularly Utqiagvik permitting and zoning procedures, and also familiar with ANCSA (Alaska Native Claims Settlement Act).
    • Knowledge of business English and general office practices.
    • Must have excellent knowledge and competency of computers and business applications, to include the MS Office Suite, SharePoint, AppFolio and applications relevant to real estate and property management.
    • Skillful in written and oral expression and ability to communicate well in front of groups.
    • Must have demonstrated ability to work productively with other staff members in various office situations.
    • Must be able to work with a high degree of independence and minimal supervision.
    • Must be bondable and able to obtain a Notary of the Public Commission certification from the State of Alaska.
    • Inupiaq speaking preferred.
    • Must be able to type 60 wpm.
    • Must be able to tolerate stress and be a team player.
    • Must have valid Alaska Driver’s License.
    • Intermediate to advanced level skills in Microsoft Office software suite - Word, Excel, Outlook, PowerPoint. Knowledge of AppFolio or similar property management software preferred.
    • Ability to communicate effectively with all levels of employees and outside contacts. To receive and respond to instructions/assignments, must be able to read, write and speak English.
    • Strong interpersonal skills and good judgment with the ability to work alone or as part of a team
