Human Resources Assistant
General Summary of responsibilities
Work independently under general supervision and within established guidelines to manage the Box Butte General Hospital benefits and onboarding of new employees including, but not limited to, recruitment and retention strategies, employee relations, employment law and compliance, performance management, and other generalist duties as assigned. Support the semi-annual salary survey process. Assist and support the Manager of Human Resources with assigned projects. Projects include but are not limited to EEO reporting, record maintenance and retention, revision and maintenance of HR policies and procedures, and management development and training coordination.
1. Must be able to maintain confidentiality and abide by HIPPA laws at ALL times.
2. Advise HR Manager on benefits and compensation strategies (total rewards approach) that support effective
Recruitment and retention of diverse BBGH employees.
3. Develop and implement communication programs for employees regarding benefits and compensation including pension program.
4. Coordinates with peer HR Assistant with open enrollment and onboarding benefit programs. Develop and distribute materials, deliver employee presentations, and coordinate on-site representation by providers.
Ensure all enrollments and changes are processed within appropriate timeframes. Provide support for benefits questions and enrollments.
5. Prepares offer letter and new hire packets. Conducts Criminal Background Checks, Reference checks, Education Verifications, and verifies licensures in a timely manner.
6. Updates and maintains personnel files and ensures confidentiality of information.
7. Review all information for completeness prior to placing in the personnel file.
8. Files/scans information including: 9salary information, evaluations, legal information and hospital information regarding the employee such as documents and correspondence.
9. Tracks and monitors license renewals of all licensed staff & scans licensure in personnel files.
10. Collaborate with other HR Assistant in ensuring accurate and complete HR records (hiring documentation, leave and salary records, evaluations, training and orientation records, and discipline records) are maintained.
11. Maintains and trains all employees in ADP System and provides support to payroll and managers.
12. Knowledge of HR-related laws, regulations, and BBGH policies regarding discipline, terminations, benefits enrollments, COBRA, and means to obtain resolution for benefits issues and needs. Ensures all policies, practices and procedures meet state and federal regulations.
13. Affirmative Action, ACA and EEO-4 reporting
14. Complete reports, surveys, audit work papers and other requests for information as necessary.
15. Assists the HR Manager and Accreditation Specialist with Joint Commission standards of compliance and survey preparation.
16. Regularly updates HR Manager on FMLA, resignation, and workers’ compensation.
17. Manage associated vendor relationships and performance.
18. Along with peer HR Assistant, support assigned hospital department managers and employees with employee relations concerns, employment law and compliance needs, performance management needs, and other generalist duties as assigned.
19. Assist with the development, revision, communication of, and implementation of HR policies and procedures such that overall hospital operations are effective and efficient. Serve as a policy resource for managers and employees so that their questions are answered in a timely manner. Keep the HR Manager informed about policy questions and trends so that Executive Management can prepare and/or respond to policy concerns in an
effective and equitable manner.
20. Collaborate with other HR Assistant in developing and implementing internal HR office procedures such that day-to-day operations run smoothly and effectively.
21. Manage associated vendor relationships and performance.
Other Job Functions:
1. Keep hard copy and digital Human Resource policy and procedure manual updated.
2. Serve on assigned committees. Assists CEO, HR Manager and Department Managers with coordination of hospital events
3. Enhance professional development by taking steps to remain knowledgeable about HR industry standards and trends; attend meetings, seminars, and workshops as assigned.
4. Actively participate in BBGH performance improvement activities.
5. Perform other related duties as assigned or requested. Attendance is essential
Job Qualifications:
Education:
Required: Associate Degree in Business, Management, or Health Care Services is required .
Experience:
Required: Strong communication, counseling, facilitation, presentation skills required
License/Certifications: Possession of or ability to obtain and maintain a valid Class “O” Nebraska driver’s license or the equivalent
Skills/Qualifications:
A well-organized and self-directed individual with excellent communication skills. An intelligent and articulate individual who can relate to people at all levels of an organization and possesses excellent communication skills. An excellent facilitator who is experienced in resolving conflicts between different parties to a dispute. An energetic, forward-thinking and creative professional with high ethical standards and an appropriate professional image.
