The Claims Specialist role interprets work orders, parts listing and service reports for the purpose of preparing claims for warranty to the equipment manufacturers. Provides assistance to sales force for the use of program funds to secure parts sales and increased customer satisfaction. Maintains and submits all vendor claims through vendor systems and company operating system. Duties require considerable knowledge of manufacturers' warranty policies and philosophy, SMCS, accounting, and ability to understand mechanical principles.

ESSENTIAL FUNCTIONS:
Reviews work orders, parts listing and service reports for the purpose of preparing claims
Prepares claims describing failure and corrective action in a logical sequence and a timely manner
Executes administration of the Caterpillar Product Support Commercial System (PSCS)
Maintains marketing programs in Company operating system
Assists sales department personnel with work orders, discount programs, MAPS fund application allowing for appropriate programs needed to maximize refund and maintain or improve GP
Files manual & automatic claims with Caterpillar and non-CAT vendors for refunds of discounts given to customers
Performs account reconciliation ensuring credits funds are appropriately applied
Ensuring accounts are balanced for CAT Discrepancy accounts, Bucyrus Discrepancy accounts as well as balancing the semi-annual return
Accepting credits and applying them to the correct accounts.
Ensure discrepancy accounts are maintained so that parts are returned and refunds received in allotted return period for all vendors
Arrange priority codes in systems so discounts are correctly given to customers
Creates management reporting
Creating Reports as needed for the claiming process or as needed by Administration
Assisting the Parts Operations department with other reports and processes that can improve the efficiencies of branches and their claims and parts sales processes
Assist with Vendor Parts Return Processes
Recommend to manager ideas to improve the departments operating procedures or business practices and participate in and support continuous improvement of all related activities and processes
Project a positive image by interacting with fellow employees, customers, and management in a cooperative, supportive, and courteous manner; display a professional attitude; comply with company dress code
Create and maintain good communications (verbally and in writing) and relationships with other Company departments, branches, employees, outside vendors, and customers by addressing and resolving concerns quickly
Follow all work, safety rules, and procedures
Perform other duties as necessary and assigned
