PRIMARY FUNCTION:

The Human Resources Administrator implements Club systems and procedures in human resources and compliance. Provides regular clerical and administrative support to the Chief Financial Officer. Enters and maintains all human resources related records including personnel, payroll, compensation and benefits. Evaluates and optimizes human resources and compliance controls and procedures. Supports finance by processing and maintaining files related to payroll and compensation as directed.

 

KEY ROLES (Essential Job Responsibilities):

Human Resources 80%

  1. Maintain and update as needed all HR-related forms and documents.
  2. Prepare HR packets.
  3. Perform new employee onboarding and offboarding.
  4. Process hiring requests and implement Club procedures related to hiring.
  5. Perform or assign to vendor all Club-required pre-screenings.
  6. Review timesheets, verify payroll forms have been submitted, and follow up with employees as needed to facilitate payroll is run on time.
  7. Maintain electronic and hard copy filing systems making sure they are accurate, timely and facilitate easy retrieval of information, including all employee files, rosters, tracking forms and web-based platforms.
  8. Provide employee coaching and staff development as directed.
  9. Support maintenance of intern and volunteer files.
  10. Perform other related administrative duties as requested.
  11. Special projects as assigned.

 

Compliance 15%

  1. Modify, update and implement Club policies and procedures related to compliance.
  2. Support control systems to ensure compliance with all Club policies and procedures based on industry regulations and ethical standards.
  3. Implement ongoing training programs for employees to ensure the Club policies are enforced.
  4. Maintains a safe work environment.

 

Facilities 5%

  1. Schedule office equipment repairs and maintenance as needed.
  2. Maintain and update the organization’s asset listing.
  3. May be required to answer phones, provide general information, refer caller to other staff or take messages.

 

 

ADDITIONAL RESPONSIBILITIES:

1.      Ensure a safe facility for all members, Club staff, and visitors.

2.      Participate in cleaning and maintaining the facility and equipment.

3.      Participate in special programs and/or events.

4.      Adhere to organizational policies and procedures as described in the Employee Handbook, Ethics Policy and elsewhere.

 

RELATIONSHIPS:

Internal: Maintains close contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/instruction; instruct; and advise/counsel. Ensures a productive work environment by participating in staff meetings.

           

External: Maintains contact with external vendors as needed and others to assist in resolving problems.

 

SKILLS/KNOWLEDGE REQUIRED:

  • High School diploma or GED.
  • Minimum 1-year human resources experience.
  • 10-Key & 30 WPM.
  • Proficient Microsoft Office, especially Excel.
  • Understanding of use of common office equipment.
  • Good verbal and written communication.
  • Strong organization skills and attention to detail.
  • Ability to work independently.
  • Good customer service skills and ability to deal with the general public.
  • Ability to work in a loud fast-paced environment.
  • Able to maintain strict confidentiality.
  • Mandatory CPR and First Aid Certifications.
  • Mandatory mandated reporter and abuse prevention training.
  • Ability to pass a drug and background screening.

 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

This position is in a normal office environment and loud fast-paced Club environment. The model Human Resources Administrator will thrive in an extraordinarily fast-paced environment that features constant change. This position requires employee flexibility, patience and ability to problem-solve and innovate. Employee must be able to work club hours of operation.

 

This position is moderately active and requires sight, hearing, bending, kneeling, crouching, ability to type, typically sitting up to eight hours each day, and may require standing for up to two hours each day. Ability to move quickly throughout club facilities and other physical requirements needed to complete essential functions of the position and other duties as assigned are required. The employee must frequently lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 35 pounds.

Pay Range: 

$22.00-$25.00 an hour based on experience and education. 

 

This is a temporary position for a Human Resources Administrator, expected to last from May 2024 to July 2024.
