Front Desk/Membership Assistant

Front Desk/Membership Assistant –is responsible for overseeing the front entrance of the Portland Club House, answering phones and welcoming members, parents, and visitors. They will also assist in managing Clubhouse membership including intakes and updates, tracking daily attendance and program participation. This role is part time, 30 hours per week and eligible for benefits.

Responsibilities:

_ Front Desk _

  • Warmly and professionally welcome and assist members, new members, families and Club visitors.
  • Answer phone calls, assist the caller promptly, and direct the caller to the proper staff member when appropriate.
  • Direct Club members to their appropriate program space.
  • Receive and disperse incoming mail and packages.
  • Ensure club safety protocols are always met.
  • Maintain an orderly Front Desk and lobby area

Membership

  • Provide and collect new member information with BGCSM’s New Member Application.
  • Enter new member data into attendance tracking software (Trax Solutions Attendance) ensuring timely and accurate information including emergency contact numbers, schools and current address.
  • Maintain confidentiality with sensitive, personal information.
  • Create member name badges; maintain organization of current and expired.
  • Maintain list of expiring members and reach out to them to renew membership.
  • Enter program participation information daily into Kidtrax
  • Generate daily, weekly, and monthly reports as requested
  • Work with parents to enroll kids and support applications to DHHS for program service fees

Qualifications

  • 1-2 years working at Boys & Girls Club, youth organization, school system or similar organization, a plus
  • Excellent organizational skills and attention to detail
  • Prolonged periods of standing and sitting at desk and working on a computer
  • Must be able to bend, reach, push, pull and lift up to 20#
  • Must have valid work authorization paperwork.

Skills:

  • Bi-lingual in Portuguese or Lingala, a plus!
  • Strong ability to multitask.
  • Familiar with Windows and Microsoft Office (Word, Excel and TEAMS).
  • Familiar with membership tracking software or similar products

Schedule/Perks

  • $18.50 per hour
  • Monday-Friday 1:00p-7:00p; flexible when needed, no weekends!
  • Team orientated place to work.
