Qualifications:

Education/Experience – High school diploma (or equivalent) and 2-3 years of experience in a leadership role. Financial Services experience a plus but not required.

In order to be successful in this role, you should possess strong organizational skills as well as leadership abilities. You should also be able to handle administrative tasks, such as record keeping, data entry, and filing.

Our goal is for this candidate to become our Office Manager in the next ~2 years. In this time, we’d like for them to receive training across all of our departments.

Responsibilities:

Manage front desk and general office

  • Answer phone calls
  • Greet clients and prepare welcome signs
  • Prepare client welcome kits

Prepare for client meetings

  • Create account summaries for annual reviews

Open accounts

  • Process paperwork
  • Manage account transfer process and account funding
  • Communicate with advisors and client on account status on a weekly basis
  • Update client website
  • Manage and track initial client experience process

Client onboarding process

  • Maintain CRM database and client segmenting & scheduling
  • Maintain client communication/marketing database

Managing accounts ongoing

  • Process withdrawals and contributions, update changes to client accounts
  • Review client account servicing reports and communicate action items to responsible parties
  • Update account tracking reports

Coordinating and organizing firm events

  • Managing the schedule prior to and at each event (live or virtual)
  • Facilitating communication for all events
  • Organizing event logistics

Office Management (over next ~2 years)

  • Support company operations by maintaining office systems and supervising staff
  • Managing equipment/IT maintenance (liaise with IT support)
  • Software updates/renewals
  • Employee inductions – manage the onboarding of future employees
  • Monitor inventory and order supplies
  • New computer setup (as purchased)
  • Employee vacation/sick day monitoring
  • Advisor licensing – making new appointments and tracking all existing for renewals

Compensation/Benefits:

Compensation - $60,000 - $65,000/year with benefits, including:

  • Dental Insurance (90-day waiting period)
  • Health Insurance (90-day waiting period)
  • 401(k) (immediate eligibility and 4% match) and profit-sharing plan (1-year waiting period)
  • Group Life and AD&D Insurance
  • Group Short-Term and Long-Term Disability
  • Paid vacation and sick time
  • 36.5-hour work week: M-Th 8:30 – 5:00, F 8:30 – 4:00

This is not a remote position

Job Type: Full-time

Pay: $60,000.00 - $65,000.00 per year
