We are currently seeking an Assistant Property Manager in our Austin, TX region. The Assistant Property Manager is accountable for supporting effective administration of policies and procedures that promote well-managed, well-maintained buildings and grounds at either Company-owned or third-party commercial properties.


ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Support the Property Manager in the day-to-day operations & management of buildings which may include assistance with scheduling inspections for security, life safety and other items as required.
  • Support Property Manager in the engagement of third-party suppliers and contractors. Assist in negotiation service agreements, selecting contractors and suppliers, providing quality control oversight, implementing cost containment initiatives, measuring compliance to contractual standards and providing liaison as needed between tenants and third- party service providers.
  • Person in charge when Property Manager is offsite
  • Prepare contracts and purchase orders- monitor invoicing compliance, certificates of insurance, upload contracts to Onbase.
    • Log vendor info and amount of proposal for project. Contact vendor as needed for any invoices not received for applicable service.
  • Monitor eTenants work order system and follow up with Vendors and Tenant for quick resolutions of any outstanding requests or re-occurring requests.
    • Assistant Property Manager will oversee building repair request at Barton Skyway and Garza Ranch.
  • Prepare proposals for tenants for above standard requests and coordinate work to completion once approved by tenant(s).
    • Acquire proposal for applicable materials and/or install from vendor/supplier., if Engineer time is necessary.
  • Prepare invoices to tenants for above standard requests once work is completed. All invoices with applicable coding to be sent to Accounting to record costs on tenants account.
  • Perform financial management and recordkeeping activities such as receivables. Pursue collections when necessary.
  • Approve all invoices as received in AVID workflow once review is complete for the proper coding to account/budget.
  • Assist with management of payables, consistent with approved budgets, contractor/supplier performance, Corporate Accounting directives, and expense containment initiatives.
  • Accurately report transactions using Corporate Accounting systems and methods in conformance with policies, procedures and timelines. Maintain documentation locally for management or others review.
  • Works with Property Management team to minimize expenditures, maximize revenues adhere to budgeted cost parameters.
  • Participate in the preparation of annual operating budgets.
  • Obtain certificates of insurance or waivers from contractors, suppliers and other third-parties, and assure adherence to safety guidelines pertinent to property visitors, tenants and employees.
  • Respond quickly to tenant concerns and questions, and take prompt action to resolve problems and/or document and convey requests to the appropriate individual(s).
  • Perform building inspections for cleaning and maintenance issues.


Education and/or Experience:

  • Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Minimum 2 years commercial real estate property management preferred.
  • Ability to use and learn computer software packages as required.
  • Ability to multi-task and respond quickly and efficiently to tenant requests
  • Must have a “team player attitude”. Positive, outgoing, customer service orientation a must.
  • Ability to interact and communicate with professional courtesy and tact among tenants, contractors and individuals at all levels of our organization.
  • Proficient with computer skills including Microsoft programs, Outlook and website navigation.
  • Strong problem solving and communication skills.
  • Ability to effectively present information and respond to questions from all levels within the Company.
  • Professional presentation and interactive skills.

Salary : $46,200 - $58,500
