What are the responsibilities and job description for the Property Manager Assistant position at Breeden Real Estate?
Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and respond to inquiries in a professional and courteous manner; answer vacant property questions
-Respond timely to vacancy inquiries
- Greet and assist visitors in a friendly and welcoming manner
-Receive rents and appropriately account for monies collected
-Assist with lease signings
-Process mail
- Perform clerical duties such as filing, photocopying, and scanning
- Maintain office supplies inventory and place orders when necessary
-Manage/maintain property key inventory
-Generate, review, print & mail late notices
-Manage property utility connections
- Coordinate and schedule appointments, meetings, and events
- Assist with project coordination and follow-up on action items
- Assist with event planning and logistics
Skills:
- Strong customer service and people skills
-Strong administrative skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Attention to detail and accuracy in data entry and documentation
- Proven ability to handle confidential information with discretion
- Strong written and verbal communication skills
- Knowledge of office procedures and equipment operation
- Experience with phone systems and proper phone etiquette
-Experience with Buildium property management software a plus
- Ability to work independently as well as collaboratively in a team environment
