YOUR ROLE & RESPONSIBILITIES
The Bid Coordinator is responsible for the overall project management of bids. This role will work closely with the Sales Manger and internal stakeholders to evaluate bid opportunities and risks to maximize bid success. This role requires an excellent all-around understanding of business challenges, processes, and market opportunities. Managing the contributions of key stakeholders under tight time constraints to ensure bid requirements are met is an integral part of this position. This position provides an excellent platform to acquire product knowledge and interaction with all facets of the company.
Essential Responsibilities and Tasks:
- Produce and coordinate plans for bid submissions, carefully tracking entire process through pre-qualification and tender stages.
- This role will work closely with internal stakeholders to evaluate bid opportunities and identify best products suited to specifications and application needs to maximize bid success.
- Work with internal stakeholders to include Commercial Management, Pricing Team, Operations and Sales Support to compile necessary information for bid completion.
- Coordinate all parties involved in the bid process to ensure everyone is aware of the level of contribution expected of them and that deadlines can be met.
- Work with Sales Support, Legal council and Commercial Management to ensure contracts are reviewed and signed in an efficient and timely manner.
- Maintain bid calendar to ensure bid renewal and new bid opportunities deadlines can be met.
- Ensure that all bids are submitted on time and are as complete and accurate as possible while providing value added information and personalization for the client wherever possible.
- Ensure appropriate opportunities are input into the CRM system for opportunity and pipeline management.
- When a bid has been successful, work closely with internal departments to ensure a professional handover to all involved parties involved to successfully service the account.
- Engage in bid discovery activities by tracking and monitoring new opportunities via portals and tools to seek out new RFPs.
- Attend calls or meetings with prospective clients as/when required.
- Support wider sales and business development activity.
- Frequently conduct customer touchpoints using all available tools to ensure customers needs are being met.
- Maintain an up-to-date level of product, technical, and application knowledge.
- Keep up to date with changes and updates in the product/solution portfolio and in the market.
- Keep up to date on feedstock and upstream developments that impact product price movements.
- Support Sales Manager as needed with Special Projects.
YOUR PROFILE
Additional Required Skills/Abilities:
- Sound computer skills in the use of Microsoft Excel, Word, PowerPoint and CRM systems
- Superior communication and negotiation skills
- Strong commercial understanding
- High self-management capabilities
- Customer-centric mindset, focusing on creating a positive experience for the customer
- Basic level of strategic thinking (business development, opportunities)
- Travel required as per business needs
- Valid driver’s license with clean driving record
- Walk up to 50% of the day
Education and Experience
- Preferably a Bachelors Degree in Industrial Distribution or related degree with a focus in Business, Science or equivalent.
- Experience in the lubricant distribution business, preferably in a sales capacity (3 to 5 years previous experience in sales role).
