Channing Division of Network Medicine (CDNM) of the Department of Medicine was formed in July 2012 and is the largest research-only division within the Brigham and Women’s Hospital with approximately 250 employees. The Division is comprised of three units: Systems Genomics and Genetics, Chronic Disease Epidemiology, and Systems Pathobiology. Total annual research expenditures for FY23 were in excess of $49 million and total grant submissions was approximately 155. The Grant Administrator is responsible for Pre-Award operations, playing a large role in preparing grant applications and lifecycle reports. The incumbent will be a full-time staff member of the Pre-Award team, reporting to the Lead Pre-Award Grant Administrator. Major responsibilities include assisting a portfolio of Principal Investigators with proposal and budget development for a variety of sponsors and awards.

Pre-Award

  • Works with Principal Investigators and their support staff to coordinate all aspects of grants submission; prepares budgets and budget justification; ensures proposal compliance with Hospital and grantor policies and procedures, as well as those of subcontracting institutions. Collects and compiles internal documents from PIs/assistants for new submissions, progress reports and closeouts.
  • Compiles Just-in-Time (JIT) materials: Human Subjects Education certification, budget, IRB, IACUC and Other Support pages while closely working with PI, Post Award Administrators at CDNM, and external collaborators.
  • Work with PI, Post Award Administrator, and Research Administration on progress reports, no cost extensions, and closeout of grants/contracts.
  • Develops primary working relationships with Investigators, internal staff, Research Administration, and external administrators.
  • Interprets and articulates institutional and sponsor policies and procedures to ensure compliance. Proactively keeps Investigators apprised of changes in policies and regulations of federal and non-federal grantor agencies. Identifies potential budget, procedural, and/or policy issues affecting grant submission and work with Principal Investigators to resolve issues.
  • Attend bi-monthly Staff and regular BRISC meetings to keep current with federal (NIH, in particular), state and other sponsor requirements, timelines and policy issues; attendance at additional relevant meetings and trainings (Divisional, BWH, and Mass General Brigham [MGB]), when available.
  • Interacts with various departments within MGB (formerly Partners HealthCare) including, but not limited to, Research Administration.
  • Contribute to updating and maintenance of a centralized electronic (CDNM shared drives) grants management and archiving system.
  • All other duties as assigned.


  • Bachelors’ degree or equivalent.
  • Demonstrated grant and financial management experience.
  • General knowledge of program administration guidelines of Federal and non-Federal funding agencies supporting biomedical research. Familiarity/experience with all types of award mechanisms, including grants, contracts, subcontracts, cooperative agreements.
  • Must be able to take initiative and manage multiple projects simultaneously with frequent competing deadlines.
  • Must have excellent attention to detail.

  • Exceptional analytical and organizational skills and the flexibility to handle multiple tasks and deadline pressures while paying strict attention to details.
  • Ability to resource efficiently and autonomously.
  • Ability to maintain extensive electronic document and email files which are Division property.
  • Excellent interpersonal/communications (verbal and written) skills and a customer service focus.
  • Demonstrated proficiency in Microsoft Office, Word, Excel, and Internet applications.
  • Demonstrated ability to be organized and flexible in an environment which requires continuous monitoring of priorities.
  • Highly goal-oriented, self-motivated, and able to work independently as well as in coordination with various teams.
  • Willingness to take on new challenges and flexibility with change.

supervisor or other appropriate hospital staff.
