Job Summary

The Secretary II performs varied, detailed, and complex secretarial tasks for the University of Wisconsin Division of Extension (UW Extension Educators working in the areas of 4-H, Agriculture and Horticulture) calling for individual judgment, initiative, and applying specialized knowledge in performing duties regarding Extension Programming. In addition, the Secretary II works with volunteers and the public providing customer service.

Essential Duties

Design and create professional looking brochures, fliers, newsletters, displays, forms, reports, and educational materials.

Use social media to market and promote educational programs and share educational information.

Customer service skills to build and maintain relationships with county residents.

Maintains program databases.

Manages program registration process.

Compiles data and prepares various reports.

Maintains a calendar of meetings and other events pertaining to agriculture and horticulture programs.

Receives payments, issues receipts and accounts for monies handled.

Prepares newsletters and other mailings.

Performs receptionist and/or counter duties.

Provides assistance to other UW-Extension program areas as needed.

Provides assistance to staff as needed for technology related questions, including presentations for in-person and virtual events.

Maintain UW-Extension website.

Manages and compiles registrations for events and prepares necessary signage, registration materials and educational materials for these events.

Maintains communication with colleagues in other county UW-Extension offices and University of Wisconsin-Extension Program Areas.

Assists with virtual learning sessions.

Accomplishes work related to the successful implementation of Extension Programs.

NON-ESSENTIAL DUTIES:

Performs related functions as assigned.

Minimum Qualifications Required

Education and Experience:

High school graduate, courses in Microsoft package plus two years of general office experience; graphic arts/design, marketing or any equivalent combination of education, training and experience which provides the necessary knowledge, skills and abilities.

Experience in designing and creating professional looking brochures, fliers, newsletters, displays, forms, reports, and educational materials.

Experience in using social media for promotion of programs and events.

Experience with customer service.

Knowledge of general office skills, practices and procedures.

Knowledge of business English, spelling and grammar.

Knowledge of and ability to utilize a computer and the required software.

Ability to type at a minimum rate of 50 net words per minute.

Ability to learn and apply the specialized knowledge and skills of the department in which employed.

Ability to establish and maintain effective working relationships with staff and the public.

Ability to communicate effectively both orally and in writing.

Ability to work the required hours of the position.

PHYSICAL DEMANDS:

Ability to lift 20 pounds maximum with frequent lifting and/or carrying of objects weighing up to 10 pounds.

Intermittent standing, walking and sitting; occasional driving.

Must be capable of using hand(s)/feet for repetitive single grasping, fine manipulation, pushing and pulling, and operating controls.

Occasional bending, twisting, squatting, and reaching.

Ability to communicate orally in a clear manner.

Ability to distinguish sounds at various frequencies and volumes.

Ability to distinguish people or objects at varied distances under a variety of light conditions.
