Commercial Projects Coordinator
The following are the duties and responsibilities for the above named position.
The goal is for the items below to be performed in an organized, accurate, consistent and professional manner. Improvement Expectations Expectations
Commercial Projects: o Responsible for reading specs and schedules for submittal, O&M criteria, and tag numbers. o Create a submittal log for each project and collect all submittals from our vendors. Update log as needed. o Prepare transmittals and combine them with the submittals in order to send to the GC for review. o Submittal reviews are tracked and if required resubmittal is created and returned to GC. o Approved submittals are returned to the vendor. o Once submittals are approved, Issue PO's with attached quote then log in equipment tracker. o Issue subcontracts to TAB & Insulators in addition to their PO's. o Coordinate with PM in order to release equipment from vendors when required onsite. Update log. o Work with vendors to provide a weekly update to PM for delivery status. o Set up delivery appointments with vendor and coordinate with the foreman. o Work with vendor to gather all O&M and warranty paperwork. o Compile final O&M manuals, warranty, TAB reports, startup reports, owner's training & spare parts list. o Ship finals and as-builts to GC and keep file for office use.
Submittals and job books: o After submittals are reviewed and approved by Engineer/GC, processes, logs, and distribures submittals. o Tracks submittal process for all projects and present submittal status at weekly PM meetings. o Follows up with PM's, Estimator, GC's and owners as needed to get questions answered. o Prepares job book for the field and PM on the project; includes drawings and job set up sheet with vendor list.
Purchase Orders: o Maintain PO log. o Coordinates with PM to write PO's for equipment/materials needed under our scope. o Code invoices, packing slips, and other documents from orders. o Maintain a rental log and call off as soon as we are able to.
Other duites: o When freight is damaged, coordiate with vendor and file claims. o Participate in weekly meeting with the Colorado office to address submittals & closeouts. o Participate in weekly/monthly meetings with PM's to check status of projects. o Keeps work space clean, organized and professional in appearance. o Shows up on time, gives adequate notice for requested days off, and is generally accountable.
