Payroll & Human Resource Specialist

  • Processes weekly payroll in adherence with federal/state/facility/regional pay guidelines.
  • Onboards and briefs employees on benefit plans, changes to benefit plans, employee options, and the process for enrollment/de-enrollment.
  • Executes and submits all background and screening procedures.
  • Orders and distributes benefits, such as employee handbooks, summary plan descriptions, enrollment forms, provider directories, portals, etc.
  • Utilizes E-Verify for the I-9 process including completing employee section of I-9 form; verifying new hire employment eligibility, following up on work authorizations that expire, and ensuring that I-9 forms are completed and maintained in accordance of regulations.
  • Posts state and federal posters required by law in appropriate locations.
  • Assists employees with leave requests, FLMA, monitors employees on leave, receives and tracks benefit payments and ensures that appropriate documentation is recorded, filed and maintained.
  • Sets up and maintains payroll records in accordance with company policy, state and federal rules and regulations.
  • Reviews employee time and attendance reports for accuracy and completeness, and makes corrections as needed.
  • Reallocates weekly payroll commissions by the corresponding direct labor departments in accounting software.
  • Implements, maintains and reviews payroll processing systems, including timekeeping systems, to ensure timely and accurate payroll processing, including review of salaries, benefits, garnishments, PTO, commissions, taxes and other deductions and reimbursements are complete.
  • Prepares, records, and pays weekly, monthly and quarterly Federal and State payroll returns and taxes.
  • Keeps all payroll and HR records secure and confidential.
  • Supports the business by running reports and providing data to departments upon request.
  • Participates in all internal/external audits and reporting related to payroll by providing records and documentation to auditors, state requests, and serves as main point of contact.
  • Yearend duties include reconciling and managing reporting items for W-2’s, federal and state payroll returns, reporting and updating employee deductions, and employer costs of benefits.
  • Weekly updates to the benefit insurance payment liabilities through payroll to the accounting software to include employer contributions.
  • Must be organized and able to complete multiple tasks and assignments in a timely manner with a high degree of competence and confidentiality. Must communicate effectively, both orally and in writing to internal and external parties.
  • Manages and updates all payroll processing functions to ensure appropriate (and best practice) internal control procedures are in place and being followed.
  • Evaluates payroll processes to determine how those processes can be improved, streamlined and/or automated.
  • Performs other tasks as assigned.

Education:

Minimum 1 year experience in Payroll and HR related procedures. Accounting associates degree preferred or at least 2 years of equivalent accounting experience.

Experience:

  • Processed and monitor all Payroll & HR functions in a corporate capacity; assuring that all employee maintenance, changes and company updates are processed daily, weekly, and in a timely and systematic manner.
  • Professionally handled inquiries regarding payroll tax issues, employment earnings verification, payroll record keeping vacation and various deductions such as child support and garnishments.

Knowledge, Skills, and Abilities

  • Computer and Systems Experience: QuickBooks experience preferred, Microsoft Office (Excel, Word, Outlook) and must have the ability to learn, comprehend and use QuickBooks payroll.
  • General: Must be organized, timely, accurate to detail, open to change, willingness to learn new software’s and procedures, and understand and apply company policies and processes in a professionally fair, unbiased and consistent manner.
  • Extra: Notary is a plus but not required.

Physical Requirements

  • While performing the duties of this job, the employee is regularly required to sit and make coordinated movements of the fingers for data entry on a keyboard.
  • Ability to occasionally lift, pull/push up to 15 pounds.
  • Mixed manufacturing plant and office environment

Salary: $20.00 – $23.00 per hour
