EVENT COORDINATOR JOB DESCRIPTION
POSITION: EVENT COORDINATOR
REPORTS TO: EVENT MANAGER AND DIRECTOR OF OPERATIONS
FLSA STATUS: Non-Exempt
Position Summary: This position is chiefly responsible for overseeing specific events. This position supervises other employees, requires the exercise of some discretion in judgment in matters of significance to the business, and has fiscal responsibility over the performance of the department and the business.
ESSENTIAL FUNCTIONS:
- Physical Requirements: lift up to 50 pounds; stand, twist, and bend for extended periods of time including kneeling; move, and/or set up tables, large foam climbers, boxes with art supply shipment, etc.; utilize stairs and/or ladders to access parent lounge and attic areas where we store supplies and equipment; ability to discern audible sounds such as program music as well as for the safety of the children be able to hear children and see children.
- Observes and follows all company rules and policies, including anti-harassment policies.
- Upholds Bubbles Academy’s mission statement.
General Functions:
- Exercises some discretion and judgment in the planning, coordinating, execution and management of the event process from beginning to the end.
- Supervises all event staff and delegates responsibilities.
- Ensures the space looks ready for the event and everything is in order.
- Greets event contacts (families or clients) and introduces party leaders and other staff.
- Assists hosts with retrieving any supplies and the set-up/display of them as necessary.
- Checks in with the event host throughout the party and ensures smooth execution of the event.
- Monitors progress of event, activity, and set-up and clean up is running on time.
- Prepares for closing all day long. This means that if there is clean up from the first party of the day and it’s the second party, we should be spending all down-time getting things put away. This will ensure that we can leave in a timely fashion.
- Helps serve food to children and assists with drinks.
- Makes sure that all set up and clean up occurs at the appropriate time.
- Organizes the singing of Happy Birthday when appropriate.
- Assists with pack up of birthday supplies
- Ensures the collection of the party balance.
- Ensures the clean up of all Bubbles Academy spaces. Makes sure rooms are reset and ready for the next party or class. Including cleaning up all activity supplies, including washing art supplies, wiping down art tables, disinfecting used props/toys,
- Communicates professionally and effectively with staff and Bubbles Academy Families.
- Returns telephone calls and emails promptly (same day if possible; no later than the next day).
- Assigns tasks to staff as necessary when staff appears idle.
- Exhibits leadership behavior and models standards of conduct for all employees.
Knowledge, Skills, and Abilities:
- Superior Customer Service skills
- Skill to be able to use Keynote, iTunes and classroom technology
- Ability to establish priorities, work independently, and proceed with objectives without supervision
- Ability to handle and resolve recurring problems
Credentials and Experience:
- Must have experience working with children under the age of 5 years.
- Experience in the Service Industry.
Special Requirements:
- Able to work weekends consistently.
