Legal Receptionist (Spanish Speaking)
Burga Law Firm PC is a solo practitioner law firm concentrating in the areas of Immigration, Criminal Defense and Personal Injury. We are looking for a Receptionist to join our team.
As Legal Receptionist, you will be the face and voice of our firm, not to mention the first person and impression for our prospective and existing clients. That being said, it is your responsibility to ensure that you conduct yourself with the highest level of professionalism and displaying the appropriate and proper greetings that our clientele deserves. In addition, your duties will include:
- Meet and greet clients and prospects with professionalism and proper etiquette.
- Display a positive attitude at all times.
- Direct visitors to the appropriate person and office.
- Answer, screen and forward incoming phone calls.
- Ensure reception area is clean and presentable, with all necessary stationary materials.
- Provide basic and accurate information in-person and via phone/email.
- Receive, scan, appropriately catalog, and distribute mail/deliveries daily
- Maintain Calendar with appointments/meetings/court dates.
- Effectively communicate and correctly calendar court dates and deadlines, including cross reference with corresponding courts to ensure information being calendared is correct.
- Responsible for notifications and reminders to clients for upcoming hearings or appointments.
- Correctly filing away any and all documents and mail.
- Assist attorney and paralegals with delegated office tasks.
The qualified candidate should have:
- High School Diploma.
- At least 1-year office experience.
- Bilingual (Spanish) REQUIRED.
- Basic office skills: email, fax, scanning, copies, and other administrative tasks.
- Professional appearance and excellent customer service.
- Multitasking and time management skills, with the ability to prioritize tasks.
- Ability to be resourceful and proactive when issues arise.
- Ready to learn attitude, willingness to operate new and cloud software, intermediate typing skills and keyboard shortcuts, expertise in navigating the web.
- Articulate, detail-oriented, and strong organizational and communication skills.
- Experience with the legal software MyCase is a PLUS.
