HireArt is helping a personal finance company find an Office Coordinator with a cheerful disposition to join its team and play a critical role in managing the flow of the office.
In this role, you'll follow and create processes and systems to enhance company operations. Specifically, you will be responsible for the office administration and reception roles.
The ideal candidate is extremely personable and cares deeply about providing a great employee experience. We're looking for someone who is highly organized and has the ability to build effective working relationships.
As Office Coordinator, you'll :
- Welcome visitors and internal employees with a cheerful disposition.
- Follow office workflow procedures to ensure maximum efficiency.
- Assist in vendor relationship management.
- Maintain files and records with an effective filing system.
- Schedule agendas, travel arrangements, and appointments for upper management.
- Monitor office expenditures and handle all office contracts (e.g. rent, vendor services, etc.).
- Perform basic bookkeeping activities and update the accounting system.
- Handle customer complaints or issues effectively.
- Maintain / order office equipment and supplies (e.g. ensure copiers are operational and fully stocked with toner, paper, etc.).
- Support meeting and conferencing needs.
- Maintain a clean and organized office environment.
- Perform ad hoc tasks as needed.
Requirements
- 1 years of experience in this role or similar (e.g. facilities coordinator, office manager)
- An energetic, positive attitude is a must!
- Comfortable working in a fast-paced environment
- Excellent time management and organizational skills
- Highly proactive, follows through reliably, and works with a sense of urgency
- Detail-oriented, achieves thoroughness and accuracy when completing a task
- Ability to build effective working relationships with teams through clear, reliable verbal and written communication
- Dependable and possesses a strong understanding and ability to handle confidential information
- Familiarity with Google Suite, Slack, Zoom, and the MacBook is a plus!

Commitment : This is a full-time 12-month contract position staffed via HireArt. This position is onsite and available to candidates local to the Scottsdale, AZ area.
