Position Overview
Butler University is seeking an experienced individual to serve as the Administrative Specialist in the Department of Psychology. Work schedule is 9 months annually, mid-August through mid-May with summer months off.
Responsibilities:
Provide administrative support for the Psychology faculty, working closely alongside the chair of the department and program director for Neuroscience.
The administrative specialist will:
- Serve as the primary point of contact for the department, facilitating communication between students, parents, faculty, administrators, and others. The successful candidate must enjoy working with college age students.
- Provide full clerical and general office support to the department chair (Psychology), program director (Neuroscience), faculty, and students and partner closely with other units across the University, most notably with Records and Registration, Admissions, IT, Career Services, the Center for Academic Success & Exploration, and the Business and Purchasing offices.
- Responsibilities include:
- Monitoring college and university calendars and keeping the chair and faculty apprised of upcoming events, due dates, processes, etc.
- Entering accounts payable vouchers, requisitions, and reimbursements for faculty
- Maintaining program records and database files, including budgets, research and internship information, majors/minors and alumni student information
- Scheduling meetings, equipment and room reservations, and ordering office supplies
- Assisting with the development of the year-long course schedule and entering the course schedule in PeopleSoft
- Preparing adjunct contract information for the Dean’s office
- Assisting with student recruitment materials and events
- Onboarding new full-time and part-time faculty hires
- Assisting with the maintenance of websites and other media platforms.
- Performing other duties as assigned by the chair and director.
Required Qualifications:
- High School Diploma or equivalent
- 2 years of administrative experience
- Strong organizational, written and verbal communication skills
- Demonstrated ability to work independently and to manage multiple priorities
- Strong computer skills with proficiency in Microsoft Office programs among others, and ability to learn new software quickly
Preferred Qualifications
- Bachelor's Degree
