TITLE: Facility & Security Manager

DEPARTMENT: Collections & Exhibitions

REPORTS TO: Chief Collections & Exhibitions Officer

SUPERVISES: Facility Operations Specialists, Security Guards and

Custodial Staff

POSITION SUMMARY: The Facility & Security Manager is responsible for the security, physical plant, maintenance, and housekeeping of all Museum buildings and grounds.

PRIMARY DUTIES:

  • Protects the collections, exhibitions and facilities by ensuring that proper security personnel and procedures are in place and that all security and fire equipment is in good repair and fully operational.
  • Maintains and repairs ongoing operations of boiler units, HVAC systems, air conditioning and other equipment and coordinates repairs through an external contractor or provider when necessary.
  • Assists with hiring and training of all new security staff, provides ongoing training on a regular basis and monitors performance of staff.
  • Prepares security schedule including the standby schedule.
  • Serve as a security guard when needed
  • Serves as the principle museum contact with the Police Department, Fire

Department, U.S. and Canadian Customs, Post Office, contractors and contract staff.

  • Maintains public, staff and storage areas including carpeting, lighting and furnishings and ensures repairs of same.
  • Develops specifications for contracts, negotiates contracts and monitors work for facility improvement projects and preventive maintenance projects and services.
  • Maintains museum vehicle(s) by creating and monitoring procedures guiding use and regular service schedules.
  • Assists in preparation of department budget.
  • Coordinates the compliance with safety regulations, ADA requirements, and Montana State Fund regulations and guidelines.
  • Prepares five-year plan for capital purchases and replacements.
  • Oversee shipping and receiving activity on the loading dock and through the service entrance.
  • Maintains a schedule of ongoing maintenance for property and equipment.
  • Maintains adequate documentation of procedures for staff and updates and communicates on a regular basis.
  • Assists other museum staff with projects, grants and events as needed.
  • Serve on the Museum’s Safety committee
  • Ensures museum-standard safety protocols as set in the Safety and

Emergency Disaster Preparedness plans are implemented properly

  • Active member of the Facility Advisory committee: set agenda, meeting place and time, take minutes, coordinate action required, and report outcome
  • Be certified as the Resident Manager through the Montana Department of

Labor & Industries Board of Private Security

  • Administer the museum proprietary security license awarded from

Montana Department of Labor & Industries Board of Private Security

  • Performs other duties as assigned.

QUALIFICATIONS:

  • Extensive knowledge in maintaining a facility’s HVAC and plumbing systems
  • Ability to proactively recognize when a facility system needs repair or replacement
  • Ability to repair or replace HVAC filters
  • Ability to supervise, organizes, prioritize and schedule work assignments.
  • Exceptional customer service and leadership experience.
  • Must possess the ability to maintain a positive consistent attitude in working with staff, volunteers, and contractors.
  • Working knowledge of Microsoft Office products, Windows operating systems, and Google Apps.
  • Knowledge of maintenance programs, government regulations, contract negotiation and administration.
  • Highly self-motivated.
  • Ability to establish and maintain effective working relationships and to work well in a team situation.
  • Strategic planning skills.
  • Effective oral and written communication skills.
  • Ability to organize and plan work assignments; exceptional attention to detail; ability to manage multiple projects and time effectively.
  • Punctual, reliable, and flexible.
