Position Title: Purchasing Clerk FLSA: Non-Exempt
Position Summary:
The Purchasing Clerk will be responsible for directing the procurement process, maintaining effective communication channels with suppliers, and ensuring sufficient inventory levels to sustain the uninterrupted operations of our company.
Essential Duties/Responsibilities:
- Manage purchase orders and requisitions. Generate, issue, and track purchase orders. Confirm product specifications and delivery details with vendors.
- Communicate with suppliers to negotiate prices and confirm order details. Act as a point of contact for suppliers. Coordinate with them to ensure timely delivery of products and resolve issues related to orders.
- Track deliveries and verify receipt of goods.
- Maintain accurate inventory and stock records. Help monitor inventory levels and participate in inventory audits to ensure stock availability and order accuracy.
- Maintain detailed records of purchases, receipts, and stock levels. Ensure accuracy in data entry and document management.
- Assist in the analysis of supplier performance to ensure compliance with company standards and expectations.
- Coordinate with other departments to forecast needs and schedule deliveries. Assist in preparing periodic reports on purchasing activities, budget status, and supplier performance.
- Handle invoice discrepancies and coordinate with finance for payment processing. Match invoices with purchase orders and delivery notes. Collaborate with the finance department to ensure payments are processed on time.
- Ensure compliance with the company’s purchasing policies and procedures.
- Performs other duties as assigned.
Skills/Abilities:
- Strong organizational and communication skills.
- Good communication and negotiation abilities.
- English and Spanish Bilingual Proficiency
- Proficiency in Microsoft Office, particularly Excel.
- Ability to multitask and meet deadlines in a fast-paced environment
- Detail-oriented with a strong ability to manage multiple tasks simultaneously.
- Familiarity with supply chain procedures and inventory control methods.
- Ability to analyze data and provide insights on procurement and inventory trends.
Education/Experience:
- A high school diploma or equivalent and an associate degree in business or a related field are preferred.
- 1-2 years of experience in procurement or a related field preferred.
- Experience working with inventory management systems and procurement software.
