Responsible for providing administrative support for the Facilities DepartmentJob Description
- Process & monitor all work orders for Maintenance, Grounds, and Custodial staff (including PM’s)
- Manage phone calls and correspondence
- Monitor time clock entries
- Prepare weekly payroll, track, and maintain employee paid time off
- Receive, file, and update key requests/replacements in BEST KEY
- Maintenance will cut/deliver keys
- Prepare invoices for rebillable labor hours
- Create JDE WO’s for billable hours and submit timecards to SAU
- Onboard new hires
- Submit related forms, complete I9, provides keys and request badge from SAU
- Terminate/transfer employees when needed
- Create/Post positions as needed, or requested
- Assist employees with questions related to benefits, payroll, etc.
- Assist with vendor management
- Update checkbook
- Payment of vendors via AP/MyAP
- Payment to Dover Schools via IVEE
- Maintain paper and electronic personnel, vendor, and building related files
- Create forms and simple spreadsheets as needed
- Monitor credit card receipts and statements (pay via card when needed)
- Maintain positive working relationship with facilities and school staff
- General office duties as assigned
REQUIREMENTS
- Knowledge of office procedures
- Ability to multi-task and prioritize work
- Good communication skills
