The Event Coordinator assists with coordination and development of signature events and academic programming by performing the following duties and responsibilities while reflecting the Christian values of California Baptist University
Essential Duties and Responsibilities
  • Assists and oversees the coordination and execution of events hosted on CBU Main Campus. Events include one-day to multi-day meetings, conferences, and camps.
  • Answers department phone calls and emails servicing clients and provides quality customer service to internal and external clients.
  • Assist with event scheduling and request processes using AdAstra Information Systems.
  • Assist the Conferences and Events Services Manager with the coordinating and planning of special events, including, but not limited to New Student Orientation, Homecoming, Fortuna Bowl, Commencement, Academic Residencies, Intensive Training Weekend, and Admissions related events.
  • Works with Food Services and Facilities Management as needed to support events.
  • Communicates with event clients and coordinates logistical details.
  • Maintain scheduled office hours, with the requirement of a flexible schedule of availability at night and on weekends.
  • Assist in recruiting, employing, training, supervising, and evaluating Conferences and Events support staff including the management of student worker timecards and scheduling.
  • Research to improve scheduling process procedures and event services.
  • Updates calendars and other documents as instructed with key dates, ordering deadlines, and events.
  • Communicates with vendors, coordinates details, places orders, and hosts various vendors during events.
Supervisory Responsibilities
This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

  • Skill in the use of personal computers and related software applications.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • A thorough knowledge of: Business English and arithmetic; general office methods, procedures and practices.
  • Ability to plan, develop, and coordinate multiple projects.
  • Ability to read and write at a level appropriate to the duties of the position.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Ability to gather data, compile information, and prepare reports.
  • Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff and student body.
  • Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.
  • Strong organizational skills and detailed oriented.
  • Ability to maintain confidentiality.
  • Excellent telephone courtesy knowledge and experience.
  • Ability to coordinate and organize meetings and/or special events.
  • Knowledge of standard budgeting and expenditure control procedures and documentation.
  • Ability to interpret, adapt, and apply guidelines and procedures.and implementing new strategies and procedures
  • Ability to resolve customer complaints and concerns.
  • Ability to stand long hours with some physical demands preparing for, breaking down or during events
  • Ability to work weekends or overtime for events.
  • Ability to be empathetic to the needs of a culturally diverse student body
Education and/or Experience
Associate degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
