Position Summary
Under the general supervision of the Associate Director of Campus Recreation, the Campus Rec Coordinator will serve in the 118,700 Square-foot Mashouf Wellness Center (MWC) that opened in 2017. The incumbent oversees and supervises intramural sports, sport club programs for the campus, and special events, building capacity for a strong student life program that engages students and assists with their learning and development outside of the classroom. Additionally, the incumbent administers a summer kids camp program. Areas of oversight include, but are not limited to, program development, promotions, program management and supervision, and program risk management. The position works directly with a variety of student employees and sometimes interns. Incumbent must strategically align work and outcomes in a away that supports the mission of the SF State campus Student Affairs & Enrollment Management (SAEM) cabinet area, and Campus Recreation/MWC, and is in line with NIRSA: Leaders in Collegiate Recreation, and other higher education and industry best practices.
Position Information
Intramurals Program Operations & Oversight
- Selection of activities will be based upon user demand, ability to introduce students to new activities, and other assessed factors that give the program intentionality;
- Develop, implement, review, and refine policies, standard operating procedures, and handbooks that ensure smooth operation and excellent customer service;
- Hire Intramural supervisors and officiating staff for program delivery; hiring and training is developed with an emphasis on building transferable skills, service, resiliency, and leadership capacity;
- May work with local high school sports officiating associations to provide additional training, development, networking, and employment opportunities;
- Responsible for review and refinement of rules and coordination for all intramural activities, with an emphasis on fairness, safe play, enjoyment, and Inclusivity of students of all skills and backgrounds including students who sometimes feel marginalized; Utilize IMLeagues.com software platform for managing team registration, scheduling leagues and play-offs, and communication to teams and players; and
- Responsible for the arrangement of trophies, prizes, and other incentives rewarding participation, winning, sportsmanship and other outcomes; may work with NIRSA to facilitate participation in state, regional, national tournaments.
Sport Clubs Program Operations & Oversight
- Develop, implement, review, and refine policies, standard operating procedures, and handbooks that ensure smooth operation and excellent customer service;
- Use the CSU Resource Guide for Sport Clubs as a guiding document in which to manage structure, travel, risk, and Insurance to ensure we are doing what we can to keep our sport club athletes safe;
- Serve as Sport Clubs Administrator in representing the campus within the CSU;
- Work closely with Student Activities & Events to make sure all Sport Clubs are fully chartered and fulfilling university requirements; utilize OrgSync software for the review and approval of documents from Club Officers;
- Provide guidance and advisement to sport club officers, advisors, and coaches to assure sport clubs stay student-directed and student-run;
- Assist clubs with continual building and maintaining of competencies within the club leadership from year-to year so that they can build consistent practices, budgets, NGB and league relationships, and facility rentals that give them stability to grow; and
- Support logistics required for travel and competition on a state or national level for those clubs who strive to participate at this level; may work with NIRSA to facilitate participation in state, regional, national tournaments.
Kids Camp Programming Operations & Oversight
- Develop a summer day camp structure to provide children with a positive, activity-based, educational, and fun experience on a college campus; possible future expansion to break-based camps (e.g., Thanksgiving Break camp, Winter Break camp, etc.) or other formats;
- Utilize spaces within the MWC, on-campus, and possibly off-campus;
- Develop, implement, review, and refine policies, standard operating procedures, and handbooks that ensure smooth operation and excellent customer service;
- Employ careful and thorough hiring and training techniques for camp staff to give college students a valuable and rewarding work experience with children; includes child development, group management, 1:1 communication with children of different ages, age-appropriate activities and instruction, incident and injury prevention and response, mandatory reporting, and communicating with parents, etc.;
- Follow accepted CSU, campus, and industry protocols regarding working with minor children under 18;
- Utilize American Camp Association (ACA) standards or other acceptable industry standards for guidance; and
- Develop a program that is financially self-sustaining and eventually revenue-generating, with the priority of delivering a high-quality experience for campers.
Student Supervision, Training, and Development
- Work alongside student managers for the 4 operational areas to make decisions and manage program operations;
- Recruit, hire, train, schedule, evaluate, discipline, advise and mentor approximately 8-10 student managers and 35-45 front line student staff;
- Meet with staff, both in large groups and one-on-one settings, for direct communication and support of a strong staff team;
- Instruct students on utilizing proper software tools (i.e., lMLeagues.com, OrgSync, etc.) as needed;
- Develop and maintain strong customer service skills of student employees, including the development of self confidence, critical thinking skills, communication skills, teamwork, problem-solving, and data entry without error; and
- Oversee student staff scheduling and payroll for lntramurals & Special Events, Sport Clubs, and Youth Camps operations staff.
Duties Across all Programming Areas
- Work with Campus Rec Reservations & Scheduling to ensure activities spaces are reserved for activities and Campus Rec Marketing for marketing and promotional materials;
- Responsible for inventory, monitoring condition, and repair or replacement of equipment for operational areas;
- Provide and interpret data, solicit feedback, and research best practices with focus on assessing and improving operational areas;
- Serve as a liaison to various campus offices/departments as they relate to assigned operational areas; work with 3rd party vendors within contractual guidelines, as related to operational areas; and
- Participate in professional development opportunities and continuing education courses to maintain required certifications or industry knowledge.
Campus Rec Special Events Program Operations & Oversight
- Select activities based upon user demand, ability to introduce students to new activities, and other assessed factors that give the program intentionality;
- Develop, implement, review, and refine policies, standard operating procedures, and handbooks that ensure smooth operation and excellent customer service;
- Continue or establish new, recognizable, signature events that are scheduled annually;
- Provide core services in special event support to support collaboration and the efforts of others in putting together one-time events in and around the MWC;
- Provide an event planning structure that will help provide flexibility to meet demands for special events as they come along including logistical planning, staffing, promotions, space usage and other approvals, budgeting, risk management and safety protocols, purchasing of supplies and services, day-of logistics, and post-event wrap up; and
- Work with campus entities to fulfill event planning requirements and gain support for well-run events based on thorough planning and communication.
Administrative
- In coordination with Senior Management prepare and monitor annual budget, program and equipment purchases, partnership agreements;
- Responsible for ordering, maintaining, inventory and secure storage of equipment; and
- Actively participate in staff meetings, staff trainings, and appropriate national associations.

Minimum Qualifications
Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
- Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
- Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
- Working knowledge of operational and fiscal analysis and techniques.
- Ability to take initiative and Independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
- Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.

Preferred Qualifications
- Master’s Degree in Sports Management, Recreation, Exercise Science, or a related field;
- Understanding of the application of student development concepts, including principles of individual and group behavior, and advising students individually and in groups on routine matters;
- Experience with developing and promoting programs and services within area of oversight through a lens of social justice, sustainability, accessibility, and non-traditional as well as traditional programming;
- Demonstrated knowledge and understanding of the Strategic Values and Core Competencies for NIRSA: Leaders in Collegiate Recreation, and SF State’s Strategic Plan values;
- Experience hiring, training, scheduling, supervising, evaluating, and developing student employees; Experience supervising college students in a college campus setting;
- Experience with new program development and implementation;
- Experience overseeing intramural programs — including experience using program registration software/apps and experience collecting, analyzing, and reporting usage data;
- Experience overseeing club sport programs;
- Experience developing and overseeing youth camp programs;
- Experience developing and overseeing special events;
- Demonstrated technology, software, and hardware skills including the use of Microsoft Office, email and the internet; and
- Experience providing high quality customer service, and contributing to a positive, friendly, work and wellness environment.
Ability to:
- Develop and oversee intramural, club sport, and youth camp program operations including staffing, policy development and enforcement, risk management, registration management, marketing, and collecting, interpreting, and reporting participation data;

Duties take place mostly in an office setting, with primary locations at the Mashouf Wellness Center. Ability to: succeed in a fast-paced, multi-tasking environment; work variable nights, weekends and/or holidays, on-campus or off-site, Indoors and outdoors, depending upon work conditions and demands, including an occasional overnight stay; use computers and other communication tools for extended periods of time; and competently interact with a culturally and ethnically diverse population of students, faculty, staff, and campus community.
