Position Summary:

The Student Affairs Coordinator is a key member of the student affairs and admissions team providing a supporting role in all student affairs related activities. (S)he has primary responsibility for academic support and academic coaching/advisement to maximize student success. S/he prioritizes programs and practices that increase student persistence and retention, support timely progress toward degree completion, and foster holistic student learning and development through the advancement of high-impact educational opportunities. (S)he will also work with departments within the college and the university to assist professional development and career services activities. (S)he assists with the planning and execution of incoming and current student advisement, scholarship competition and in-person and online orientation. S/he aids in the strategic planning, assessment, and execution of the faculty and student academic advising training scholarship application and selection, professional development workshops, one-on-one appointments, and online and in-person orientations. S/he assists the Director as a resource to academic support, leadership development, and faculty development.

Essential Duties and Responsibilities:

  • Provides assistance for all student affairs related activity, including but not limited to orientation, student success, academic support, scholarship selection, proper student advisement, retention of current students, career services and professional development.
  • Enhance the adoption, diffusion, training, implementation and assessment of early alert systems, processes, etc. in coordination with the key stakeholders from the graduate and professional CPHS programs.
  • Manage the CPHS tutoring program to ensure academic success and accreditation standards are met regarding student support and progression.
  • Maintain a standard of tutoring excellence through the recruitment, hiring, training, payroll, supervision, annual reviews/evaluation of tutors and assessment of the program.
  • Work with key stakeholders to develop, implement, and evaluate assessment measures to evaluate quality and effectiveness of the academic support services provided and tools utilized and make yearly recommendations for quality improvements, additional services, innovative solutions, etc.
  • Responsible for awareness and incorporation of best practices that contribute to student success in graduate and professional school.
  • Create and facilitate both individual and group consultations and workshops related to study skills, time management, leadership development, test anxiety, stress management, goal setting, CV/resume writing, networking, and learning styles.
  • Assist with training of professors and others on learning styles and best practices for advisement and academic counseling.
  • Maintain an electronic system to record requests, meetings, and documentation. This includes student tutor requests, tutor scheduling and documentation advisor scheduling and documentation, student affairs scheduling and documentation, academic contracts, individual student meetings and student success planning.
  • Utilize available tools to track at-risk student populations, report developing problems and work with professors and class advisors to identify those students in academic trouble in a timely manner to affect change.
  • Meet one-on-one with students to discuss personal issues related to academics, family problems, financial issues, career planning, goal setting, time management, stress management, etc. Make referrals to mental health professionals as needed.
  • Develop, implement, and maintain academic contracts and semester success plans for students in academic trouble including monthly or weekly checkups as necessitated for individual situations.
  • Coordinate and assess the annual scholarship selection process including but not limited to, application creation and marketing, compilation of blinded applications, leading scholarship selection meetings, coordinating approval of updates with scholarship committee and advancement, review awards to ensure accuracy, submissions to the greater University with follow-up as necessary.
  • Create, execute, maintain, assess, and improve all aspects of incoming and current pharmacy student advisement. This includes faculty training and workshops, student communication, assignment of advisors, etc.
  • Create and execute programs and services that support Campbell CPHS students based on best practices in the field to facilitate student engagement and reduce barriers to timely degree completion through leadership development, professionalism, career, and academic skill building.
  • Assist key stakeholders in development and implementation of career services programming for all CPHS students including, mock interviews, career fairs, career planning, resume/CV reviews, etc.
  • Assist in supporting the implementation and assessment of systematic early alert, risk mitigation, and academic advisement for students enrolled in the professional and graduate programs on all academic and mental health concerns.
  • Assist with development, deployment, and assessment of new student in-person and online orientations for CPHS students.
  • Assist in facilitating cross-unit initiatives and capitalize on campus partnerships, including those with university student success, the advising center, financial aid, endowment office, and alumni relations.
  • Create and maintain assessment reports and communicate concerns to the respective faculty, Director of Student Affairs, Associate Dean for Academic Affairs, and Associate Dean for Student Affairs & Admissions.
  • Assist admissions personnel to develop, deploy and maintain accepted student communications and activities to ensure retention of qualified applicants for all programs.
  • Other duties as assigned.

Administrative Tasks as Assigned by the Associate Dean of Admissions & Student Affairs Including, but not Limited to:

  • Answer office phone and provide customer service to current students.
  • Order office supplies and Xerox paper for student copier.
  • Ensure file room and front office is clean and organized.
  • Prepare enrollment verification letters and other correspondence.
  • Set up and/or attend meetings for/with Associate Dean of Admissions & Student Affairs

Education/Experience:

  • Master’s Degree recommended with a preference for Educational Administration, Higher Education/Student Affairs, or related degree.
  • 1-3 years’ experience in student services, event coordination, and background in higher education or the non-profit sector is preferred.
  • Recruiting, student services, office management, academic advising experience is preferred.
  • Proficiency in Microsoft Word, Excel, PowerPoint, etc.
  • Excellent written and verbal communication skills.
  • Must be able to interact appropriately with students, faculty, administration and professionals.
  • Must have the ability to work in a fast-paced environment, as well as manage and deal with unique problems that may arise.

Knowledge, Skills, and Abilities:

  • Communicate effectively to all groups through both oral and written channels.
  • Maintaining strict confidentiality and attention to detail are essential.
  • Knowledge of Microsoft Word, Outlook, Excel, PowerPoint and Internet.
  • Technology savvy with the ability to quickly learn new software.
  • Demonstrate tact, a positive attitude, courtesy and discretion in dealing with trustees, faculty, staff, students, high-level university officials and the public.
  • Work independently as well as function effectively in a team and within a diverse group of people.
  • Exercise independent judgment in complex and new situations.
  • Manage multiple, concurrent projects, and meet strict deadlines.
  • Detail-oriented and willing to work in a changing environment.
