Job Description:
Cape Fox is seeking a proactive and highly-motivated Executive Administrative Assistant to work in the office of Project Manager, Defense Communications and Army Transmission Systems (PM DCATS) at Fort Belvoir, Virginia. A well-qualified candidate will be professional, organized, and adaptable, with experience working and communicating with senior military and civilian personnel. Close familiarity with and/or prior work experience in Army acquisition program offices is desired.
Essential Functions:
In this position, the candidate will provide support to the O-6 front office staff, acting as the focal point of contact for the O-6 office. This position serves as the liaison between the O-6 and visitors to the PM DCATS office, as well as the immediate point of contact for the O-6 in terms of scheduling and managing travel coordination and general office support.
- Scheduling and coordination of meetings (calendar maintenance), Maintaining personnel contact list information
- Preparing and typing official correspondence within the guidelines prescribed in Army Regulation (AR) 25-50, and be well-versed in Army correspondence practices
- Preparing and typing reports, meeting minutes, alert/phone rosters, email distribution lists and organizational charts
- Providing correspondence review/corrections/updates
- Document staffing and tracking
- Develop and coordinate executive travel itineraries, act as Defense Travel System (DTS) Entry Agent, and provide expert advice for DTS/travel requests for civilian and military personnel
- Maintain business travel schedules
- Process and track Theater Clearance Requests / Country Clearance Requests for personnel in the Aircraft and Personnel Automated Clearance System in accordance with the DoD Foreign Clearance Guide
- Answering phones and recording accurate messages
- Greeting/receiving visitors
- Document reproduction
- Scheduling conference rooms and teleconference lines
- Monitoring office supply stock levels, alerting when restock is necessary
Job Requirements:
- At least six (6) years’ of program office support experience commensurate with the essential functions herein
- Minimum education: High School Diploma
- Must have excellent verbal and written communication skills
- Must be well-versed in Army correspondence practices
- Must present a professional appearance appropriate for interacting with senior-level officials
- Intermediate to advanced level skills in Microsoft Office software suite - Word, Excel, Outlook, PowerPoint
- Ability to communicate professionally and effectively with all levels of employees and outside contacts
- Strong interpersonal skills and good judgment with the ability to work alone or as part of a team
- SECURITY CLEARANCE REQUIRED: Must currently hold and be able to maintain a security clearance at the Secret level; US Citizenship is a requirement for Secret clearance at this location
- Must have the authorization to work in the United States as defined by the Immigration Reform Act of 1986
Work is based in a busy office environment and subject to frequent interruptions. Normal work hours are Monday-Friday 8:00 to 5:00. Estimated travel is 0%.
