Position Purpose
The Executive Assistant will assist an assigned group of Executives in day-to-day support activities. The role requires an appropriate level of discretion while handling exposure to highly sensitive and confidential data.
Position Responsibilities
- Schedule travel and meetings, responsible for calendar organization and deconflicting competing appointments.
- Perform a wide variety of executive administrative duties as required by daily operations for the assigned group of executives.
- Prepare and review various reports and documents and assists in preparation of meeting materials as necessary.
- Is responsible for preparing and maintaining assigned monthly committee Board Packages and is cross-trained to back-up on non-assigned committees as needed.
- Interacts with the Bank’s Chairmen of the Board and other Board members.
- Maintains and organizes corporate records as needed.
- Assists in the preparation, review, and editing of board, shareholder, and customer communications.
- Reviews and evaluates email to identify those items requiring priority attention.
- Acts as the secretary for assigned committees and board meetings.
Minimum Education and Experience
- College graduate with a degree in Business Administration or related work experience
- Minimum of five years-experience in a similar role.
- Experience in a Bank environment.
- Experience supporting senior level leaders/executives with calendar management, travel arrangements, expense report preparation, and meeting/event scheduling
- Proficient in drafting and proof-reading written documents utilizing proper grammar, punctuation, and spelling
- Proficient in articulating, communicating professionally and appropriately with confidence at senior levels and across functional lines
- Demonstrated ability to prioritize work, meet deadlines, achieve goals, work under pressure, and handle complex tasks or projects
Technical Knowledge and Skills
- Advanced level experience in Microsoft office software suite (Word, Excel, PowerPoint, etc)
- Excellent oral and written communication skills
- Demonstrated interpersonal abilities to deal effectively with Bank customers, Directors, Advisory Board members, and government officials, such as the Office of Comptroller of the Treasury, Federal Reserve, IRS, FDIC and representatives of other federal and state regulatory agencies
