JOB TITLE: PROGRAM COORDINATOR
LOCATION: San Francisco TERMS: Full-Time/Part-Time SALARY: $20-$30 Per-Hour

ABOUT THE ROLE

We are seeking an enthusiastic individual with exceptional service, attention to detail, and problem-solving skills. The program coordinator is responsible for providing administrative support. The program coordinator will have a strong understanding of Carats & Stones’ workflow processes and develop, create, and implement standard operating processes and improvements. The program coordinator will be responsible for developing effective programs, overseeing activities and details, and measuring overall success. Their duties will consist of managing various administrative tasks. In a collaborative and modern office setting, you will work alongside the CEO, sales team, internal department, as well as your fellow sales associates. As part of the Carats & Stones team, you will have the opportunity to make a clear impact on the company’s growth and culture.

RESPONSIBILITIES

  • Assist the CEO and team in planning, organizing and coordinating functions relating to the operation of the business
  • Develop a deep understanding of the merchandise, service offerings, and the brand
  • Collaborate with manager to implement process improvements to enhance scalability and increase efficiency
  • Liaison with third party agencies to meet project deadline in a timely manner, which includes but not limited to the marketing team, website designer, photographer and vendors
  • Assist, manage with event planning and execution of private receptions throughout the year
  • Assist manager with scheduling, and office and facilities oversight
  • Assist in the production of marketing collateral and pitch materials, responses to RFPs and client requests, including proofreading, formatting
  • Monitor and manage special orders request queue- directing requests to the appropriate queue, individuals within the team, and/or directly responding to requests
  • Act as subject-matter expert on internal workflow processes
  • Effectively document and maintain standard operational processes
  • As needed, support the Sales Associate team in daily activities including client requests, including but not limited to, checking on orders
  • Communicate with clients to resolve issues and respond to various requests in a timely and professional manner, including but not limiting to online phone, and in-person inquiries
  • Actively manage client expectations with a proactive and client-focused approach to issue resolution
  • Provide excellent customer service
  • Demonstrate a strong work ethic and a willingness to do what it takes to solve problems
  • Perform other duties and responsibilities, as assigned

EDUATION & EXPERIENCE

  • Bachelor’s degree (preferred) or high school diploma with the equivalent combination of experience
  • 2 years’ minimum experience in an Administrative Assistant (ideally within a client service or operational group).
  • Social media experience preferred

REQUIREMENTS

  • Prolonged periods of standing, sitting, and working on a computer
  • Must be able to lift up to 15 pounds at times
