About the role:
We’re seeking a Rockstar Office Manager that is a highly organized, service-minded, problem solver who enjoys taking on challenging tasks in a fast-paced environment.
The ideal candidate will be phenomenal at developing your own process that keeps you organized and on schedule while ensuring those you support stay prepared and informed. You are ready to lend a hand to others—and happy to do what it takes to support the team. This position serves as the hub of all office functions including supporting recruiting coordinating, HR operations, and administration support for the executive team, as well as managing internal office operations.
Here’s what you’ll be working on:
- Managing office operations to ensure things are running smoothly and coordinating with vendors - food and beverage orders, managing contractors, etc.
- Managing relationship with IT vendor, ensures all IT needs/requirements are met, and assists with requests for IT support
- Calendar management - organize all meetings including team meetings, offsite meetings, customer, and team member meetings across international time zones
- Schedule logistics for meetings, conferences, and special events (onsite & offsite)
- Organizing and coordinating office operations and procedures in order to ensure organizational efficiency and growth.
- Working closely with the HR team in order to ensure the Well-being & happiness of the team: Onboarding of new employees and ensuring that each employee has all the necessary tools to be successful.
- Planning and managing company events; serves as chairperson of the social committee and facilitates all-hands company meetings
- Performing other executive assistant duties for C-suite
- All other duties and responsibilities may be assigned
Requirements
You might be a great fit if:
- 2-3 years Proven experience in an office manager/executive assistant role (experience in a similar position at a High-tech/Start-up company- a big advance)
- Self-motivated with great interpersonal skills, passion for excellent service, ability to multitask and work under pressure, and Juggling multiple high-priority projects
- Excellent organizational, planning, and time management skills
- Experience working with senior executives
- Must have exceptional attention to detail and creativity
- Must be a self-starter and driven.
- Must be proficient with Microsoft Office and Google products.
- Discretion in handling highly sensitive and confidential information
- “Roll up your sleeves attitude” and flexibility - Willing to many different types of tasks and assisting employees and visitors
- Ability to work outside of normal office hours occasionally
