What are the responsibilities and job description for the Receptionist - Medical Center position at Care Net Pregnancy Center of Central Texas?
Classification: Non-Exempt, Full Time, On site M-F during center operational hours and occasional nigh/weekend community events, as scheduled.
Reports To: Medical Services Manager
Description: The Receptionist (aka "Director of First Impressions") is often the first interaction and support opportunity Care Net has with a client and is a vital part of our medical center team. This role requires verbal and non-verbal communication that is engaging, kind and compassionate; the role includes greeting clients, answering phones, scheduling appointments and managing various clerical duties that keep the center running efficiently.
Qualifications/Background:
- Be aligned with the vision and mission of Care Net Pregnancy Center and be in full agreement with Care Net's Principles, Purpose and Faith Statment and the Mission and Values Statement.
- Minimum of High school diploma or GED
- Approved DPS, Criminal and CPS background checks; Clean Driving Record
- Willingness to complete First Air, CPR and Child Abuse Training, and other training as required.
- Basic computer and database management skills
- Excellent oral and written communication skills with a profieciency in English
- Will be available for occasional night and weekend community events.
- Highly organized, self-motivated, dependable, responsible, and able to work independently and calmly in an often highly emotional environment.
- Confident communicator and problem solver.
- Willingness to provide prayer and spiritual support to clients, if necessary.
Physical Requirements:
- Must be able to lift and carry 40 pounds up to waist high level.
- Must be able to bend, stoop, crawl, walk, reach, climb on a step stool or ladder, and be sedentary or stand 50% of the time
- Must be able to hear, see, and speak in order to communicate with clients efficiently
Duties:
- Complete internal software and database training to ensure guidelines for client interactions and support are met and procedure for collecting client information and utilizing mobile intake forms is utilized properly.
- Greet clients, answer phones, schedule appointments, and perform various clerical duties as needed.
- Call clients with reminder appointments, to reschedule no-show appointments, and to follow up with volunteer and client advocate appointments.
- Respond promptly to hotline email inquireies, including for after-hours schedule as required.
- Responsible for receiving, sorting, and distributing mail, and for performing clerical duties as assigned.
- Perform opening and closign duties per Center procedures.
- Ensure waiting rooms and counseling rooms are always clean, inviting, and stocked with folders and forms.
- Manage office supplies and follow procedure to place orders when items are low.
- Assist with material donations.
- Oversee volunteer activities in the Volunteer Room.
- Be a team player and assist other Center associates in the day-to-day operations of the Medical Center.
- Provide prayer to clients, if needed.
