Responsibilities:

  • Working directly under assigned director
  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Managing diaries, organising meetings and appointments.
  • Often controlling access to your assigned director.
  • Booking and arranging travel, transport and accommodation.
  • Write letters; Medical transcription; Scheduling; Communicate with office personnel.
  • Forecast what will be required by your director before they need to prompt you.
  • Screening incoming telephone calls; recording and transmitting messages; receiving, and announcing scheduled patients and visitors; screening unscheduled patients and visitors
  • Ensures physician productivity by maintaining calendars; physician consultations; professional meetings, conferences; teleconferences, and travel.
  • Produces information by transcribing dictation, and correspondence; planning, organizing, coordinating and controlling projects.
  • Recording meeting discussions and sending comprehensive and accurate minutes to all persons in attendance.
  • Secures information by completing database back-ups.
  • Receives, files and scans incoming mail as appropriate
  • Maintains office supplies inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt.
  • Serves and protects the health care community by adhering to professional standards, clinic policies and procedures, federal, state, and local requirements, and Joint Commission on Accreditation of Healthcare Organizations (JCAHO) standards.
  • Updates job knowledge by participating in educational opportunities; reading professional publications.
  • Enhances physician office reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Perform other duties as assigned.
  • Complies with time and attendance policy; must be at work while direct report is at work unless otherwise agreed.
  • Adheres to professional standards of conduct and behavior.

Requirements:

  • Fluency in both English and Punjabi is preferred
  • Accepted only: Health Administration/Health secretary experience
  • Experience using MS office and Google Suite (2 years)
  • EHR knowledge preferred
  • Excellent Multi-Tasking Skills
  • Handle a vast variety of responsibilities
  • Improvise and adapt
  • Follow directions and implement feedback to improve job performance
  • Good interpersonal skills
  • Ability to work independently
  • Must be authorized to work in the United States
  • Comply fully with HIPPA privacy laws.
