What are the responsibilities and job description for the Accounts Payable Specialist (Temp) position at CARLISLE COMPANIES?
SUMMARY
The Accounts Payable Specialist position is responsible for processing invoices and issuing payments, including obtaining all required documentation to support the complete invoicing and payment process cycle. The AP Specialist supports the Accounting Shared Services Department in providing a high level of customer service to our vendors and internal/external customers.
ESSENTIAL JOB FUNCTIONS
- Sort and distribute incoming mail and all correspondence to facilitate the invoice process
- Complete processing for all invoice types, including but not limited to goods receipt invoices, invoices for services, check requests, etc.
- Obtain and assign all required information including account coding, approvals, purchase order information, remittance information, W-9, etc.
- Prioritize invoices according to cash discount potential, payment terms, and urgent requests
- Coordinate purchase order correspondence and changes with Supply Chain and other applicable departments
- Prepare and issue payment runs within SAP ERP system, including electronic payments and paper checks
- Complete vendor master update form(s) for new vendors as well as changes to vendor master data.
- Evaluate and reconcile all vendor statements and manage all inquiries.
- Submit wire requests when required including obtaining bank information from vendors and submit for processing in Treasury/Banking software.
- Support company credit card programs including travel and purchase card programs
- Complete annual IRS 1099 reporting process for vendors including obtaining appropriate tax documents to ensure federal compliance
- Maintain files and documentation thoroughly and accurately, in accordance with company retention policy and accepted accounting practices
- Complete month-end duties and support overall close process.
- Assists with special projects as required.
- Performs other related duties as required to meet the goals and objectives of the company.
