Castle Rock Medical Center is accepting applications for a Full-Time Scheduler position.
Summary of Job:
The medical scheduler is the welcoming "face" of the clinic on the phone. This position requires staff to be not only technically proficient but also welcoming and friendly. The medical scheduler acts as the main access to the office for new and existing patients. This position requires timely, effective communication and collaboration with all departments regarding information changes and schedules.
Essential Job Functions:
Registers new patients and updates existing patient demographics by collecting detailed patient information including personal and financial information.
Verifies medical insurance benefits and obtains prior authorizations via computer or phone.
Collaborate with the billing department to monitor and maintain billing and global alerts.
Educates patients on procedures and policies of the office.
Schedules appointments according to predetermined protocols.
Facilitates the scheduling of tests and coordinating referrals.
Send/receive patient medical records in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and other state and federal regulations.
Answer incoming telephone calls and either address as appropriate or triage to appropriate provider or staff member.
Assists with administrative tasks such as scanning, copying, and mailing.
Call or message patients (based on their preference) with appointment reminders.
Records and distributes electronic messages accurately.
Assists patients with patient portal enrollment, navigation, and education.
Acts as a liaison between clinical staff and patients.
Resolve scheduling conflicts as they occur.
Determine the priority of patients’ needs and determine when an immediate slot is necessary and accommodate the patient according to the current schedule.
Manage cancelations including providers who occasionally need to reschedule a full day, finding the best way to accommodate patients’ needs.
Maintain knowledge of company physicals and how to appropriately schedule according to specific company requirements.
Reviewing clinic waitlists and updating when necessary.
Work closely with all internal departments and external facilities regarding schedules and patient information.
Other tasks as assigned to support smooth operation of the facility.
Qualifications
High school diploma/GED required (associate degree preferred).
Basic Life Support (BLS) required.
Ability to work in a diverse healthcare environment with diverse customer expectations.
Friendly, energetic, and enthusiastic.
Willingness to learn and adjust.
Consistently on time and reliable.
Organized, detailed-oriented.
Ability to multi-task and prioritize.
Attentive to details.
Excellent oral and written communication skills including professional email and phone etiquette.
Skill in computer usage to include mouse/keyboard and navigating scheduling, registration, and patient care applications.
Preferred Qualifications:
Knowledge of medical terminology, procedures, and diagnosis.
1 years’ experience working in a medical office.
Knowledge of health care insurance.
Knowledge of electronic medical record system.
Bi-lingual (English and Spanish).
Experience in a customer service position.
