PROGRAM COORDINATOR
JOB DESCRIPTION
JOB SUMMARY
The Program Coordinator is in charge of the day-to-day operations of CatFriends and supports the Board in ensuring the overall health of the organization and that the organization is meeting its goals and mission. The Program Coordinator delegates duties as needed to achieve organization goals, but ultimately is expected to work alongside volunteers to meet goals. The Program Coordinator will be expected to provide leadership and direction.
WORKING RELATIONSHIPS
Works closely with the Board of Directors and volunteers.
ESSENTIAL JOB FUNCTIONS
1. Manages mass sterilization clinics (20-300 cats per clinic day).
- Oversees all aspects of clinic.
- Participates in scheduling cats. Manages booking appointments and ensures proper number of cats are booked each clinic. Develops a plan for dealing with no shows and cancellations.
- Participates in check in/out of cats.
- Coordinates volunteers.
- Sets up before and cleans up after clinic.
- Ensures complete and accurate records exist for all cats.
- Fills in for positions in the clinic where needed.
2. Replies to all emails.
3. Answers and manages CatFriends cell phone, returns messages in a timely manner.
4. Manages all social media, including making posts and responding to messages in a timely manner.
5. Inventories and orders supplies.
6. Coordinates trap loans and returns.
7. Coordinates and trains volunteers.
- Ensures proper procedures are in place for animal handling, disease control, and patient care.
- Ensures volunteers are properly trained and using their time efficiently and effectively.
8. Meets with Board members to develop programs and review policies and procedures.
Periodically attends Board meetings to provide a status of clinic operations.
9. Participates on committees and special projects as assigned. This may include, but is not limited to such projects as speaking engagements and community education.
10. Coordinates spay/neuter of cats at other clinics (ie Hawaiian Humane Society).
11. Ensures that the public receives good customer service that is courteous, respectful and professional from all volunteers, and handles complaints or concerns so the situation is diffused.
12. Promotes CatFriends to increase our client base by outreach to the public and develops relationships with humane and professional agencies for referrals.
13. Actively promotes spay and neuter of ALL cats, and educates the public on responsible free-roaming cat care.
14. Represents CatFriends in a professional, courteous manner at all times.
15. Other duties as assigned.
EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, ABILITIES
1. Client Education
- Must be able to learn basic veterinary medical concepts including but not limited to basic surgical protocols and anesthetic risks.
- Must also be able to communicate basic veterinary concepts to owners and be able to repeat information relayed by a veterinarian.
- Will be asked to communicate with the public on a daily basis in a professional manner.
2. Physical Requirements
- Must be able to work standing or sitting for 8 or more hours.
- Must be able to lift and carry up to 30 pounds repeatedly throughout the day with help.
- Must be able to bend and kneel repeatedly.
- Must be able to see fine detail in a variety of situations (detail oriented).
3. Technical Requirements
- Technical proficiency with Mac or PC platforms, as well as Microsoft Office.
- Proficiency with Facebook and Instagram.
- Proficiency with email.
- Must be able to answer and respond to one cell phone line.
4. General Experience
- 5 years managing people a plus.
- Experience with social media.
- Customer service experience.
- Familiarity or experience with mass sterilizations clinics is a plus.
- Experience in a veterinary clinic, animal shelter, or spay/neuter clinic preferred.
5. General Skills
- Candidate should be highly motivated, enthusiastic and a self-starter.
- Professional attitude.
- Ability to work autonomously.
EMOTIONAL/MENTAL REQUIREMENTS
1. Must be able to work under stressful conditions and work efficiently and effectively under those conditions.
2. Must be able to cope with death either due to surgical complications or euthanasia.
3. Ability to rapidly and accurately process information.
4. Ability to delegate tasks and make decisions.
WORK ENVIRONMENT
This position requires 40 hours a week. Schedule varies pending clinic schedule. Some weekends required. Some work is performed on site and some from home. Can include working some holidays or evenings depending on needs. Candidate must be flexible with schedule changes and short notice requests.
Job Type: Full-time
Pay: $30,000.00 - $50,000.00 per year
