Position: :Refugee Services Volunteer Coordinator
Reports to: :Refugee Services Director
Supervises: :None
Department: :Refugee Services Department
FLSA Status: :Non-Exempt, Part-Time as needed up to 29 hours/week
Pay Range: :Starting from $19/hour

Position Summary: :The primary function of the Volunteer Coordinator is to recruit, orientate, train, schedule, and oversee volunteers from organizations and the community. The volunteer coordinator is responsible for developing volunteer opportunities based on refugee client needs and the interests of volunteers. The coordinator will oversee volunteer screening, placement, schedules and facilitate volunteer orientation. The coordinator will assist Refugee Services Case Managers by acting as a liaison between clients and volunteers.

Essential Duties/Responsibilities: :
  • Publish volunteer opportunities and recruit to fill the need of the agency.
  • Screen and schedule volunteers and maintain a shared volunteer calendar.
  • Set up new volunteer files and process background checks.
  • Facilitate volunteer orientation and required training.
  • Work with Refugee Services Case Managers to ensure volunteers are matched with appropriate, diverse volunteer opportunities and maintain their engagement.
  • Manage and establish relationships with our volunteers for English as a Second Language (ESL) training, housing set ups, mentoring, homework help, and various tasks within the refugee services department.
  • Coordinate and attend volunteer placement with relevant staff and refugee clients (e.g., attend refugee family introductions with volunteer/s and newly arrived refugee families.
  • Track volunteer hours, mileage, and information on virtuous, the volunteer management platform or CRM.
  • Recognize volunteers through annual event(s), social media, and regular communication.
  • Collaborate with other community organizations to recruit and mobilize volunteers.
  • Attend department staff meetings as needed.
  • Coordinate in-kind donation pick-up and delivery around the community for donation storage spaces.
  • Pull donation items for housing set ups coordinated with volunteers.
  • Other duties may be assigned.
Key Qualifications: :
  • Associate or bachelor’s degree preferred.
  • Experience in volunteer coordination preferred.
  • Knowledge of public and private social service providers in the Ft. Wayne community.
  • The ability to represent the agency in different settings and to work with people from a wide variety of cultures.
  • Strong verbal and written communication skills.
  • Experience working with diverse and vulnerable populations.

Conditions of Employment:
  • Have a valid driver’s license with a clean driving record.
  • Reliable vehicle with personal vehicle liability insurance coverage per person and per occurrence when using personal vehicle to transport clients, staff members, or volunteers.
  • Personal vehicle liability insurance coverage per person and per occurrence when driving agency vehicle and transporting clients, staff, or volunteers.
  • Successful completion of federal and state background checks.
  • Successful completion of child welfare screening.
  • Successful completion of drug and Mantoux (TB) screens.
  • Comply with the agency’s mission, code of ethics, Catholic Social Teaching, policies and procedures, and confidentiality.

  • Must have ability to reason and make judgements, to understand and follow oral and written instruction, to guide and/or give instructions, and to make decisions in accordance with established procedures and policies.
  • Physical strength: must have ability to lift, push/pull, and hold/carry 50 lbs.
