Summary
The General Accountant is responsible for assisting the Chief Financial Officer of Catholic Memorial High School (CMH). Overall areas of support include assisting in the facilitation of CMH’s budget and financial planning process, review and management of information, and accomplishing goals and objectives that are consistent with the mission and vision of CMH.
Essential Duties And Responsibilities
This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.
General Accounting
- Ensure the accurate, consistent and timely recording of financial and accounting data.
- Daily, monthly, and annual maintenance of the accounting and bookkeeping system:
- Assist in the management of tuition billing, accounts receivable processing, accounts payables and check processing, and payroll processing;
- Month end duties such as account reconciliation and financial statement preparation;
- Audit of petty cash boxes;
- Assist with Spirit Shop management;
- Manage Auxiliary Group Credit Cards;
- Reconciliation of the Tuition Receivable account;
- Reconciliation of Summer Camps account;
- Assist with Financial Aid and Caritas Fund families with reconciliations and knowledge of food service software.
- Assist with reporting requirements associated with School Choice program.
- Assist with preparation of annual financial statement and School Choice audit.
- Assist the Chief Financial Officer to maintain compliance with federal, state, and Archdiocese requirements; conform policies and professional accounting standards.
- Work with Chief Financial Officer to implement a Fixed Asset system.
Budget and Financial Reporting
- Assist with the accounting, budgeting and financial reporting systems, policies, and procedures to provide efficient and effective internal controls and monitoring of CMH’s financial position.
- Entry of approved budget into school accounting system.
Accounts Payable
1. Back-up to post invoices in a timely and accurate manner.
2. Assist with completion of weekly check run.
3. Assist with collection of W9s and generation of 1099s at year end.
Accounts Receivable
- Back-up to post CMH invoice receipts in a timely and accurate manner.
- Follow-up on delinquent accounts through monthly statements, phone calls and liaison with attorney.
- Assist with year-end tuition statements.
- Manage International Students accounts.
Tuition Management
- Lead annual enrollment contract process and preparation. Work in collaboration with team to compile and send mailing. Act as point person for questions and follow-up.
- Process tuition contracts and generate initial invoices for the new academic year.
- Maintain student database and billing with proper payment plans and discounts.
- Negotiate and monitor custom payment plans with parents.
- Assist on the Financial Aid Committee.
Payroll
- Back-up to process bi-monthly payroll.
- Assist with administration of benefit programs.
- Create employment contracts for extracurricular activities using mail merge.
- Maintain ACA module in payroll system. Includes running monthly reports and making necessary corrections. Verify 1095/1096 forms prior to printing by the payroll/insurance company.
- Analyze the W2 and benefit information at year end for accuracy. Make necessary corrections where needed.
- Assist in analyzing terms of salaries, contracts, benefits and annual rates in conjunction with budget process.
- Manage summer camp compensation for moderators.
- Support updates to the employee handbook and other related documents for policy, legal and administrative changes.
Other required job duties

Qualifications

- Bachelor’s degree in accounting/business management or equivalent experience.
- Three or more years of progressively responsible accounting experience preferably in a not for profit organization.
- Strong MS Office proficiency, with superior skills in Excel
- Demonstrated interest and ability to serve all of CMH’s customers and constituencies
- Highly organized, detail oriented and able to work on multiple projects within specific timeframes while meeting varying deadlines.
- Maintain confidentiality in areas of payroll and tuition.
- Ability to work evenings, weekends and extended workdays as needed.
- Proven ability to work well both independently, as well as within a team atmosphere.
- Excellent written and verbal communication skills.
- Bilingual abilities are a plus.
